5 Month Contract With A Local Authority

Job Purpose

To provide high-quality administrative and financial support to the Housing Maintenance & Development Service, ensuring the efficient delivery of housing repairs, maintenance and property-related services. The postholder will support a range of operational and business functions, including financial administration, invoice processing, performance monitoring, works scheduling, customer enquiries and complaints handling. The role will contribute to the effective operation of the service by maintaining accurate records, supporting performance reporting and ensuring administrative processes are completed efficiently and in accordance with Council procedures.

Key Responsibilities

  • Provide comprehensive administrative support across Housing Maintenance & Development teams.
  • Support operational teams with a variety of administrative and business support tasks.
  • Collate and process monthly overtime and expense claims for operatives.
  • Raise purchase requisitions and ensure they are processed accurately and efficiently.
  • Check, process and clear supplier invoices for payment within required performance targets.
  • Monitor and maintain financial records and supporting documentation.
  • Assist in the collection, collation and reporting of service performance data.
  • Accurately input information into housing, repairs and financial systems.
  • Support the scheduling and coordination of housing maintenance and repair work orders.
  • Process incoming and outgoing post, ensuring items are recorded and distributed appropriately.
  • Maintain accurate filing systems and records in accordance with GDPR and records management requirements.
  • Organise and support meetings, including preparing documentation and recording actions where required.
  • Act as a point of contact for customers, responding to enquiries and resolving issues where appropriate.
  • Record, monitor and track complaints received by the Housing Maintenance & Development Service.
  • Liaise with contractors, suppliers, residents and internal departments to support service delivery.
  • Assist with the continuous improvement of business processes and housing repairs systems.
  • Support performance monitoring activities and contribute to service improvement initiatives.
  • Provide cover and support to the Housing Maintenance & Development Stores Team when required.
  • Ensure compliance with Council policies, procedures and financial regulations.
  • Promote excellent customer service and a "right first time" approach to service delivery.

Requirements

Essential

  • Experience working within an office-based customer service or administrative environment.
  • Experience undertaking administrative and financial processing duties.
  • Good knowledge of Microsoft Office applications, including:
    • Word
    • Excel
    • Outlook
  • Strong data entry and record management skills.
  • Experience processing invoices, requisitions or financial transactions.
  • Excellent written and verbal communication skills.
  • Strong organisational skills and attention to detail.
  • Ability to prioritise workloads and meet deadlines.
  • Ability to work independently and as part of a team.
  • Good analytical skills and ability to work with performance data and statistics.
  • Commitment to delivering excellent customer service.
  • Ability to maintain accurate and confidential records.
  • 5 GCSEs (or equivalent), including Maths and English.

Desirable

  • Experience working within Local Government.
  • Experience supporting Housing, Repairs, Maintenance or Property Services.
  • BTEC in Business Administration or equivalent qualification.
  • Experience using housing management, repairs or financial systems.
  • Specialist IT or software training.
  • Experience handling complaints and customer enquiries.
