Business Description

Spectrum Geosurvey specialise in coastal geophysical surveys, supporting a wide range of clients in the offshore renewables sector. We have a proven track record delivering the highest-quality hydrographic and geophysical survey data. Spectrum Geosurvey are seeking an enthusiastic and dedicated individual to join our growing team based in our Lymington office.


Position Overview

We are looking for an organised and motivated Proposal Coordinator to join our growing commercial team in Lymington.

This opportunity is open to entry-level applicants and candidates who already have proposal-writing experience. You will help the team prepare clear, accurate and compliant tenders while developing your understanding of how offshore survey projects are planned, priced and presented to clients. A background in marine geophysics is essential; tender-specific training and support will be tailored to your experience.


The Role & What you will do

You will support the tender process from the first review of a client enquiry through to final submission. Working with technical, operational, project and HSEQ colleagues, you will coordinate information, maintain document control and help ensure that every response is complete, consistent and delivered on time.

  • Maintain tender calendars, action lists and submission records so that deadlines and responsibilities are clear.
  • Review requests for proposal, requests for information and pre-qualification questionnaires, with guidance, to identify required documents and response actions.
  • Coordinate contributions from technical, operational, project, QHSE and commercial colleagues.
  • Draft, edit, proofread and format proposal content using approved information and templates.
  • Complete client forms and support the preparation of company information, CVs, project experience and supporting evidence.
  • Control document versions, file naming, approvals and final submission packs.
  • Arrange reviews, record comments and follow up agreed actions.
  • Support tender portal uploads and confirmation of submissions.
  • Maintain proposal templates, reference material and past-performance records.
  • Help prepare presentations, marketing material and other commercial documents when required.

What we are looking for

  • Knowledge or experience of marine geophysics is essential, gained through relevant study or practical work.
  • Strong written English and the ability to present technical information clearly and accurately.
  • Excellent organisation, with the confidence to manage several tasks and follow up inputs before a deadline.
  • Careful attention to detail, particularly when checking requirements, figures and document versions.
  • A confident and professional communication style, with a willingness to work across different teams.
  • Good working knowledge of Microsoft Word, Excel and PowerPoint.
  • A relevant degree, apprenticeship or equivalent practical experience in marine geophysics or a closely related subject.
  • Previous proposal-writing experience is welcome but not required; entry-level candidates with strong writing and coordination skills are encouraged to apply.

How you will develop

Training will be tailored to your starting point and will cover tender coordination, compliance reviews, technical and commercial proposal structure and document control. Entry-level appointees will build responsibility progressively, while candidates with proposal-writing experience will be expected to take earlier ownership of suitable submissions.
