Proposals Coordinator

Location – Glasgow - Hybrid Working

Starting Salary - £24,570 to £27,000

As our business continues to grow, we're looking for a highly organised Proposals Coordinator to become a key part of our Proposals team, helping us deliver an exceptional experience for customers from initial enquiry through to project handover.

This is an excellent opportunity for someone who enjoys working in a fast-paced, customer-focused environment where attention to detail and organisation are essential. You'll play a central role in coordinating enquiries, quotations and customer orders while supporting colleagues across Sales, Engineering, Projects and Service to ensure information flows smoothly throughout the sales process.

We're keen to hear from candidates with strong administrative and communication skills who can manage multiple priorities effectively. Experience within a sales administration, technical or engineering environment would be beneficial, but if you have a professional approach, a passion for customer service and excellent organisational skills, we'd love to hear from you.

What you'll be doing:

  • Acting as the first point of contact for incoming enquiries and ensuring customers receive a professional and responsive service.
  • Managing shared sales inboxes, logging enquiries into the CRM system and allocating opportunities to the appropriate team members.
  • Supporting the preparation and issue of quotations, customer communications and sales documentation.
  • Processing customer purchase orders and raising supplier orders while maintaining accurate commercial records.
  • Maintaining CRM records, pricing information and supplier data to ensure accuracy across the sales process.
  • Producing reports, KPI data and management information to support business performance.
  • Working closely with Sales, Engineering, Purchasing, Projects and Service teams to ensure enquiries and orders progress efficiently.
  • Supporting project handovers and contributing to continuous improvement initiatives within the department.

What we're looking for:

  • Excellent organisational skills with strong attention to detail.
  • Strong written and verbal communication skills.
  • Good Microsoft Office skills, particularly Outlook, Excel and Word.
  • Ability to prioritise workload and manage multiple tasks effectively.
  • Professional, customer-focused approach.
  • Ability to work independently and collaboratively within a team.
  • Experience in a sales administration, technical or engineering environment would be advantageous.
  • Experience using CRM systems, such as HubSpot, would be beneficial.
  • Understanding of sales administration processes and customer service principles would be desirable.
