About the role:
Sitting in the Commercial Operations department, the Proposals Coordinator will primarily coordinate and produce proposal documentation and support Commercial Operations Managers. Responsibilities include coordinating end to end administrative proposal process, managing document governance / sign off processes, managing supplier registrations and portal compliance, proactively identifying tender opportunities via online databases and qualifying for review of internal stakeholders, introduction and implementation of all necessary document version control procedures and processes.
This role requires the highest levels of attention to detail and an ability to work under pressure and to demanding deadlines. You will be acting as the central point of contact on assigned proposals, leading and guiding the work of internal stakeholders in the Commercial and Sales teams.

Responsibilities:
- Production and delivery of compliant, professionally produced, customer specific proposals within customer defined timeframes.
- Ensure proposal documents follow corporate branding guidelines, standard formatting and quality standards.
- Coordinate proposal input from a variety of stakeholders, typically involving contributions from sales, solutions, marketing, product, finance, commercial, legal and project delivery.
- Contribute to pricing and cost analysis process for proposals.
- Champion collaboration tools, ensuring document management and version control best practices.
- Provide advice on flow, language and grammar to content owners.
- Consolidate sections and/or documents developed by other team members into the required tender format.
- Curating and maintaining a well organised library of reusable responses, templates, processes, and customer related documentation.
- Introducing and implementing all necessary document version control procedures and processes.
- Sourcing, coordination, analysis, and production of proposal documents for tender opportunities.
- Participation in project kick-off and debrief meetings, as well as assist with the preparation of detailed project plans and schedules for all phases of the tender development project.
- Reporting on success/failure ratios, go/no-go decisions and collate feedback.
- Contributing to lessons learnt and continual improvement of the service.
- Identify new business opportunities available across the marketplace by proactively identifying tender opportunities via online databases and qualifying for review of internal stakeholders
- Update CRM systems with deal status to maintain pipeline of opportunity, deal value and outcome
Skills, Experience & Qualifications:
- Previous experience in a similar role is desirable, as is strong project management experience, document design experience, and an ability to build strong working relationships with colleagues at all levels of seniority. Attention to detail and proactivity are also key to success in this role.
- Advanced level MS Office skills (particularly Word and Excel).
- Professional understanding of document templates, macros, and styles.
- Previous experience of working within a proposals environment
- Experience of providing first class administrative support to a busy function in a fast-paced environment.
- Demonstrable outstanding literacy skills including exemplary grammar and spelling.
- Organised approach towards work.
- Ability to gather information from multiple sources and quickly analyse and interpret data and content.
- Excellent standard of numeracy.
- Excellent written and verbal communication skills.
- Excellent multi-tasking and time management skills.
- Exemplary attention to detail.
- Organised with ability to maintain comprehensive and well organised records.
- Ability to proof and critically analyse written responses, working with the Proposals team to improve and enhance responses.
