Purchase Ledger Administrator

We're looking for a Purchase Ledger Administrator to join our Finance team and play a vital role in ensuring our suppliers are paid accurately and on time. You'll be responsible for processing high volumes of invoices, resolving supplier queries and maintaining strong relationships with both suppliers and internal stakeholders.

This is an excellent opportunity for someone with experience in Purchase Ledger or Accounts Payable who enjoys working collaboratively, takes pride in accuracy and wants to contribute to delivering an exceptional service.

What you'll be doing

  • Processing and posting high volumes of supplier invoices accurately and within agreed service levels.
  • Validating invoice approvals and supporting documentation.
  • Coding invoices correctly, including nominal codes and VAT treatment.
  • Processing credit notes and resolving unmatched, rejected or blocked invoices.
  • Reconciling supplier statements and investigating discrepancies.
  • Responding to supplier and internal stakeholder queries within agreed timescales.
  • Monitoring invoices awaiting approval and escalating delays where appropriate.
  • Supporting supplier payment runs and undertaking pre-payment checks.
  • Maintaining accurate records and audit trails.
  • Assisting with month-end activities, aged creditor reviews and balance reconciliations.
  • Identifying and preventing duplicate invoices and payment errors.
  • Following all financial controls, fraud prevention and data protection procedures.
  • Supporting colleagues across the team and contributing to continuous process improvements.

What we're looking for

  • Previous experience within Purchase Ledger, Accounts Payable or a similar high-volume transactional finance environment.
  • Strong attention to detail and a high level of accuracy when processing financial information.
  • Ability to prioritise workload effectively and meet competing deadlines.
  • Experience investigating discrepancies and resolving supplier queries.
  • Excellent communication skills, both written and verbal.
  • Strong relationship-building skills with suppliers and internal stakeholders.
  • Good working knowledge of Microsoft Excel, including formulas, lookups and pivot tables.
  • Understanding of financial controls, confidentiality requirements and fraud prevention measures.
  • Ability to work independently while contributing positively to team objectives.
