Beyond Retail: Accounts Payable Assistant Role

Beyond Retail is an award-winning multi-website online retailer offering bathroom, kitchen and heating products to Britain’s homeowners and tradespeople. Role Overview

In this role you will be looking after our Accounts Payable processes and ensuring our ledgers are up to date. You'll take ownership of your allocated areas of the Purchase Ledger, ensuring transactions are processed accurately and on time, supplier accounts are well maintained and queries are investigated and resolved. Working in a busy Purchase Ledger team, you will be comfortable managing high volumes of invoices whilst maintaining accuracy, identifying issues and contributing to improvements in the way we work.

You'll work closely with colleagues and suppliers, use your judgement to resolve issues and contribute to improving the way our Purchase Ledger function operates.

Key Responsibilities

  • Matching purchase orders to invoices using the sheet process where applicable
  • Checking and reconciling supplier statements to the ledger within agreed timeframes, investigating and resolving any differences identified.
  • Investigating and resolving outstanding invoice queries with suppliers
  • Chasing for credit notes from suppliers either to support an invoice discrepancy or clear an open Purchase Credit
  • Taking ownership of queries through to resolution, escalating to the appropriate person where support or further action is required.
  • Identifying and reporting system, spreadsheet or process issues promptly through the appropriate channel.
  • Investigating price discrepancies and working with suppliers and internal teams to resolve them.
  • Building excellent working relationships with our suppliers
  • Taking ownership of allocated supplier accounts, ensuring information is accurate and up to date and identifying any issues requiring action.
  • Maintain the finance inbox
  • Ad hoc finance tasks including supporting sales ledger when required
  • Identifying recurring issues or opportunities to improve Purchase Ledger processes and sharing suggestions with the wider team.

What We Are Looking For

  • Experience in processing supplier invoices with previous purchase ledger experience
  • AAT level 2 or above preferred but not essential
  • Excellent IT skills
  • A key team player who can also work independently
  • Strong verbal and written communication
  • Ability to quickly identify errors and resolve them
  • Strong attention to detail
  • Strong time management skills
  • Ability to quickly adapt to new systems
  • Experience using accounting, ERP or purchase ledger systems, with the ability and confidence to learn new systems quickly.
  • Confident using spreadsheets and digital tools; experience with Google Workspace, particularly Google Sheets, would be advantageous
  • Experience using Adobe Document Cloud
