Purchase Ledger Supervisor
The Purchase Ledger Supervisor is responsible for the day-to-day supervision of the Purchase Ledger team, including direct line management for 2 purchase ledger administrators. They are responsible for ensuring the accurate, timely, and compliant processing of supplier invoices, payments, and reconciliations across a high-volume, multi-supplier ledger. The role provides a crucial link between the Head of Finance and the wider purchase ledger team, ensuring workflows run smoothly, queries are resolved promptly, and controls are maintained during a period of significant process change, which includes a migration to Sage200 and a change in business system.
Key Responsibilities:
- Supervise, coach, and support the Purchase Ledger team, allocating workloads, monitoring KPIs, and conducting regular 1:1s.
- Act as the first point of escalation for complex supplier queries, disputes, and processing issues.
- Oversee the accurate processing of high-volume purchase invoices, including coding, matching, reconciliations, and query resolution.
- Manage the supplier payment run process, including BACS preparation, approvals, and remittances.
- Ensure correct treatment of CIS deductions and retentions where applicable.
- Support month-end activities, audits, and reporting relating to the purchase ledger.
- Build strong relationships with suppliers, budget holders, and operational teams to resolve queries and ensure timely approvals.
- Support new starter training, process improvements, and system changes, including the Sage 200 migration.
- Work closely with the Head of Finance to improve processes and overall team performance.

Hours of Work:
37.5 hours between Monday - Friday.
Essential Skills & Qualifications:
- Previous experience in a purchase ledger, accounts payable, or transactional finance role.
- Experience of supervising and motivating a small team.
- Experience using Sage 50 Accounts (or similar accounting software).
- Experience of Sage 200, or of transitioning between accounting systems.
- Experience within a facilities management, maintenance, or multi-site service business.
- AAT Level 2 or above.
