Purchase to Pay Administrator

Location: Sheffield

Work Pattern: Hybrid | Two days a week in the office

Salary: £29,863.44

Contract: FTC Until August 2027 (Possible Extension) | Full-Time Mon-Friday, 39 Hours Per Week

About us

GFSL delivers facilities management services across the Ministry of Justice and HMPPS estate, keeping sites safe, secure and running every day. Behind that operational work sits our Business Support Centre, and our Procure to Pay team is at the heart of it.

The role

As Purchase to pay Administrator, you'll make sure the right goods and services get to our sites, from the right suppliers, at the right price. You'll raise Purchase Orders on Oracle, raise Task Orders for client funded work on CEMAR, and process site requests through our direct ordering portals. You'll also act as our procurement gatekeeper, checking that every order is accurate, properly coded, compliant and good value for money.

What you'll be doing

  • Managing your own Oracle work queue, raising accurate Purchase Orders on time to support operations
  • Checking requisition coding before conversion to a PO and correcting it where needed
  • Reviewing quotes to make sure they're accurate, detailed and show value for money
  • Making sure POs are only raised with approved, compliant suppliers, and escalating policy breaches to the Business Support Centre Manager and Supply Chain
  • Identifying work outside GFSL's agreed scope and raising Task Orders on CEMAR
  • Assessing whether work falls under the Construction Industry Scheme (CIS) and flagging it on Oracle
  • Processing site orders for stationery, IT consumables, uniform and PPE through direct ordering portals, with the right approvals in place
  • Monitoring team mailboxes daily and resolving queries with requisitioners and approvers
  • Advising colleagues on compliant procurement, coding and Task Orders
  • Working closely with Operations and client representatives (CAMs)

What we're looking for

Essential:

  • At least 6 months' experience using accounts payable systems
  • Knowledge of purchasing processes
  • Strong attention to detail and confidence challenging non-compliance

Desirable:

  • Experience using Oracle or Oracle Fusion
  • Working knowledge of the Construction Industry Scheme (CIS)
  • Working knowledge of CEMAR

We'll also be looking for evidence of how you manage a quality service, deliver at pace and work well with others.
