Job Purpose
To provide administrative support to the purchasing team by accurately entering purchasing data, monitoring supplier deliveries, and proactively following up with suppliers to ensure materials and services are received in line with business requirements. The role plays a key part in maintaining accurate procurement records and supporting the uninterrupted flow of materials into the business.
Key Responsibilities
Purchasing Administration
- Raise and process purchase orders in the company's ERP/MRP system.
- Ensure purchase order information is accurate and complete.
- Maintain procurement records and supplier information databases.
- Update delivery dates, pricing information, and order status within company systems.
- Assist with supplier onboarding and documentation where required.
Supplier Expediting and Order Management
- Contact suppliers via telephone and email to confirm order acknowledgements and delivery dates.
- Follow up on outstanding orders and late deliveries.
- Escalate potential supply issues to Buyers or the Procurement Manager.
- Record supplier responses and update system information accordingly.
- Monitor open purchase orders and provide regular status updates to the wider procurement team.
Data Management and Reporting
- Enter procurement and supplier data accurately and in a timely manner.
- Run and distribute reports relating to purchase orders, overdue deliveries, and supplier performance.
- Maintain filing systems and procurement documentation.
- Support stock and inventory review activities as required.
Team Support
- Provide general administration support to Buyers and Procurement Managers.
- Assist with continuous improvement initiatives within the procurement function.
- Participate in team meetings and contribute to problem-solving activities.
- Support internal stakeholders with procurement-related queries.

Knowledge, Skills & Experience
Essential
- Good administrative and data entry skills with a high level of accuracy.
- Strong attention to detail.
- Good communication skills, both written and verbal.
- Confident in speaking with suppliers over the telephone.
- Competent in Microsoft Office applications, particularly Excel, Outlook, and Word.
- Ability to prioritise workload and manage multiple tasks.
- Strong organisational skills.
Desirable
- Previous experience in an administrative, purchasing, procurement, or supply chain role.
- Experience using ERP or MRP systems (e.g. SAP, Oracle, Infor, Epicor).
- Understanding of purchasing and procurement processes within a manufacturing environment.
Key Performance Indicators (KPIs)
- Accuracy of purchase order and supplier data.
- Timely follow-up of supplier orders.
- Reduction in overdue purchase orders.
- Response time to procurement queries.
- Completion of assigned procurement administrative tasks within agreed timescales.
