Purchasing Assistant
AliveDx is recruiting for a Purchasing Assistant to join the Procurement team based in near Edinburgh (EH53 0QF). The role is a full-time, permanent position working 37.5 hours per week with hybrid working available.
The Purchasing Assistant provides administrative and operational support to the Procurement team, ensuring the timely and accurate execution of purchasing activities. The role is responsible for maintaining procurement data, processing purchase orders, monitoring supplier deliveries and producing reports that support effective operational management. The Purchasing Assistant supports contract administration, communications with suppliers and internal stakeholders, sourcing activities and ensures data accuracy within the MRP system.

Your Mission
Your main responsibilities will include:
- Raising and maintaining purchase orders within the TROPOS MRP system in line with approved requisitions.
- Maintaining accurate supplier and material master data, including pricing, lead times, minimum order quantities, and supplier information.
- Monitoring purchase order acknowledgements and delivery schedules, proactively expediting orders and escalating supply risks where required.
- Liaising with suppliers regarding order status, delivery updates, and routine commercial queries.
- Preparing procurement reports covering open orders, supplier delivery performance, inventory exposure, and purchase price variance (PPV).
- Supporting contract administration activities and developing an understanding of commercial terms, compliance requirements, and supplier agreements.
- Assisting with sourcing activities and supplier management initiatives alongside Operational and Strategic Sourcing Buyers.
Your Competencies
- HNC, HND, Degree-level education, or equivalent relevant experience.
- Experience in a purchasing, procurement support, supply chain, or administrative role within a fast-paced environment.
- Experience working with ERP or MRP systems and managing purchase orders.
- Strong attention to detail with excellent data accuracy.
- Good working knowledge of Microsoft Excel, PowerPoint, and reporting tools.
- Strong organisational and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills and confidence working with internal stakeholders and suppliers.
- A proactive attitude, willingness to learn, and commitment to continuous improvement.
