Pay: $26.62-$28.87 hourly

About the Role

The Purchasing Coordinator - Specialty Products provides administrative, pricing, and operational support for the Specialty Products categories including doors, windows, cabinets, millwork, and other interior building products. This role serves as a key liaison between vendors, sales teams, operations, and purchasing to ensure accurate pricing, timely communication, effective vendor program administration, and resolution of service-related issues.

The ideal candidate is highly organized, detail-oriented, and proactive, with a strong ability to manage multiple priorities while maintaining accuracy. This role is vital to fulfilling our mission of Legendary Service Through Teamwork by ensuring specialty product programs are effectively maintained, communicated, and supported throughout the organization.

The Purchasing Coordinator reports directly to the VP of Purchasing and works closely with sales, operations, vendor partners, product managers, and field personnel.

Duties and Responsibilities

Pricing and Product Maintenance

  • Manage vendor price updates, corrections, and maintenance within BisTrack.
  • Verify pricing accuracy and ensure timely implementation of vendor cost and sell price changes.
  • Coordinate promotional pricing updates and rebate program maintenance.
  • Assist with new product setup, product maintenance, and category management initiatives.
  • Audit system pricing and product records for accuracy and completeness.

Vendor Program Administration

  • Track and manage vendor reimbursement programs, service credits, and warranty-related claims.
  • Monitor outstanding vendor reimbursements and ensure timely collection and resolution.
  • Assist with vendor scorecard data collection and reporting as required.

Communications and Coordination

  • Communicate price increases, product changes, discontinuations, lead-time updates, and vendor program changes to the appropriate sales and operational teams.
  • Serve as a central communication point between specialty product vendors and internal stakeholders.
  • Coordinate distribution of product updates, installation requirements, program announcements, and service-related information.
  • Support training and awareness initiatives related to specialty product categories.

Service and Claim Management

  • Assist in tracking and managing vendor service claims, warranty issues, freight claims, and product-related disputes.
  • Coordinate with vendors, operations, and sales teams to ensure timely resolution of customer and branch issues.
  • Monitor service performance trends and escalate recurring issues as appropriate.

Operational Support

  • Develop and maintain strong working relationships with specialty product suppliers.
  • Assist with inventory discrepancy investigations and product availability issues.
  • Maintain organized records, vendor communications, and program documentation.
  • Prepare reports, analyses, and communications supporting specialty product initiatives.
  • Perform other duties as assigned.

Qualifications

  • Knowledge of windows, doors, millwork, cabinets, interior products, and related building materials preferred.
  • Experience working with reimbursement programs, claims management, and pricing administration preferred.
  • Experience in purchasing, vendor management, product management, operations support, or customer service preferred.
  • Knowledge of BisTrack software preferred.
  • Understanding of wholesale building materials distribution preferred.

Technical Skills

  • Proficiency in Microsoft Excel, Word, Outlook, and Teams.
  • Strong analytical and data management skills.
  • Ability to organize and maintain large amounts of pricing and vendor information.
  • Strong attention to detail with a high degree of accuracy.

Interpersonal Skills

  • Ability to work cordially, professionally, diplomatically and with a high level of customer service in a dynamic environment
  • Demonstrate sound judgment in dealing with sensitive business matters with internal and external customers of all types. Must maintain confidentiality and accuracy of all information related to company finances and records, particularly, cost of goods purchased and sold
  • Ability and willingness to identify processes, tools and/or procedures that may be improved upon to improve the workplace and outcomes for our customers
  • Ability to communicate with all levels of management and employees at a high skill level and speak effectively in front of groups. Communication can include, but is not limited to: in-person (verbal and non-verbal), written, e-mail, telephone, and public speaking to medium size groups
  • Strong focus, planning, organizational and time management skills with the ability to manage changing priorities, handle multiple projects, and do what is necessary to meet deadlines, while maintaining a high degree of attention to detail and accuracy
  • Ability to function independently, as part of a team, and as a leader within your own team with a positive attitude, strong work ethic and commitment to excellence
  • Ability to think and respond quickly, positively, and professionally to constantly changing circumstances
  • Ability to appropriately manage stress and interact with others

Working Conditions

The primary working conditions are an office environment with a computer. The job may require occasional work in lumberyard working to train employees. The job may require occasional travel to PARR locations in the Northwest.

Physical Requirements

  • Ability to sit and/or stand for extended periods of time
  • Ability to work indoors in an office environment
  • Must be able to lift/push/pull up to 50 pounds and carry objects 50 feet
  • Both local and overnight travel may be required
