We are looking for a highly organized and detail-oriented Purchasing & Estimating Virtual Assistant to support a growing swimming pool construction company.
This role primarily focuses on purchasing coordination, procurement, project tracking, and material ordering, while also supporting estimating and quantity takeoffs. We are looking for someone with construction industry experience who can work independently, communicate confidently with vendors, and thrive in a fast-paced environment.
- Review project schedules and identify purchasing requirements
- Order construction materials, equipment, and supplies
- Track purchase orders and delivery schedules
- Coordinate with vendors to ensure timely deliveries
- Maintain purchasing records and documentation
- Monitor material usage and project inventory
- Follow up on delayed orders and resolve purchasing issues
- Ensure materials are available before scheduled installation dates
- Review construction plans and architectural drawings
- Perform quantity takeoffs using Bluebeam
- Assist in preparing cost estimates for residential pool construction projects
- Verify material quantities and measurements
- Support proposal preparation and estimating documentation
- Track project progress and maintain project status reports
- Coordinate with project managers and field staff
- Assist with scheduling material deliveries based on project timelines

Requirements
- Previous experience in purchasing, procurement, construction administration, or project coordination
- Construction industry experience (Required)
- Strong written and spoken English with a neutral or near-native accent
- Excellent communication skills with vendors, suppliers, and internal teams
- Highly organized with exceptional attention to detail
- Ability to manage multiple projects simultaneously
- Strong problem-solving skills
- Ability to work independently with minimal supervision
- Willingness to work overtime when business needs require

Highly Preferred
- Experience in swimming pool construction or residential construction
- Experience reading architectural and construction drawings
- Bluebeam experience
- Estimating or quantity takeoff experience
- Knowledge of purchasing and procurement processes
- Familiarity with construction scheduling
- QuickBooks experience
- Experience with cloud-based estimating software
Work Setup
- Full-Time Remote
- 40 hours per week
