Role Overview
You will be the operational backbone of Flyttr's Oxford purchasing and goods-in function, ensuring that biosecurity materials, laboratory consumables, chemicals, and general supplies are ordered accurately, received correctly, and available when they are needed. This is a hands-on, office-based role that sits at the intersection of procurement administration, stock control, and logistics coordination. You will work closely with the Finance & Procurement Manager and internal teams to keep day-to-day supply operations running smoothly and compliantly.
Key Responsibilities
Purchasing & Supplier Coordination
- Raise and maintain purchase orders, obtain quotations and liaise with suppliers regarding pricing, availability, deliveries, discrepancies, and returns.
- Maintain accurate supplier, purchasing, and product records within the company's procurement/ERP systems.
- Support the purchasing of specialist and regulated materials, including requirements for international locations, in accordance with established company procedures and applicable regulations.
Goods-In & Stores
- Receive, inspect, record, and distribute incoming deliveries, escalating damaged, missing, or non-conforming goods where required.
- Maintain safe, organised, and accurate stores, including appropriate handling and storage of regulated materials.
- Monitor stock levels through regular checks and cycle counts, supporting replenishment, returns, disposal, and the reduction of expiry and wastage.
- Support day-to-day stores activities, including laboratory coat laundry and other operational requirements.

Office & Facilities Support
- Support the smooth day-to-day operation of the office, including reception, visitors, office supplies, equipment, and workspace preparation for new starters.
- Coordinate routine maintenance and repairs with internal stakeholders and external service providers.
- Maintain appropriate office records and provide general administrative support where required.
Finance & Business Administration
- Match delivery documentation to supplier purchase orders, escalating discrepancies to Finance.
- Provide administrative support and absence cover for Accounts Payable activities, including invoice processing, supplier queries, and company credit card administration.
- Support international shipping documentation, procurement records, asset-register maintenance, and user training on procurement processes.
- Work closely with Science, Operations, Finance, and other teams to prioritise requirements and support continuous improvement of purchasing, stores, and administrative processes.
Qualifications & Experience
Essential
- Previous experience in purchasing, goods-in, stores, supply chain administration, or a similar operational/administrative role.
- Experience using a purchasing, procurement, or ERP system, including raising or processing purchase orders.
- Good Microsoft Office skills, particularly Excel, Word, and Outlook.
- Strong attention to detail and ability to maintain accurate records and documentation.
- Good organisational skills with the ability to prioritise changing requirements.
- Confident communication skills and a professional, service-focused approach.
- Ability to work effectively both independently and as part of a team.

Preferred
- Experience working with regulated, hazardous, or specialist materials, or within a scientific, laboratory, agricultural, or life-sciences environment.
- Awareness of COSHH, safe handling/storage requirements, or import/export documentation.
- A relevant vocational qualification such as CIPS, Business Administration, or Logistics would be advantageous but is not essential.
