Purpose

To own and manage an allocated portion of the purchase ledger both direct, indirect and capex, goods and services in line with key business objectives (i.e. delivery, quality and cost)

Key Missions

Purchasing

  • Sourcing (local) defined as;
    • Establishing a specification (functional, performance criteria and SLA) with internal customers, carry out sourcing, objective supplier selection, define the commercial strategy, negotiate, prepare and place contracts/SLAs for goods and services.

BOM | Production Buying

  • To react in a timely way to MRP demands, requisitions and emergency requests to place orders to meet business requirements
  • To expedite supply accordingly with suppliers
  • To review and amend parameters within the MRP i.e. Min/Max stock to improve automated supply

Capex

  • To support Business stakeholders where appropriate with commercial negotiations for Capital or significant Operational expenditure

Legal Compliance

  • To assure that activity is in line with the agreed purchasing policy to protect IDEMIA UK LTD and IDEMIA GROUP’s commercial and legal position
  • Raise and resolve any conflict

Cost Down Management

  • Identify and deliver cost down in line with targets agreed with the Planning Manager and/or Operations Director
  • To review non conformances raised on vendors and take appropriate action to rectify and communicate results to users

Reporting

  • Establish monthly KPIs to manage business, supplier and department performance

Management

  • Line mgt responsibility for the Purchasing Admin Team in the delivery of Purchasing Activity:
    • Performance management and objective setting
    • Resource management
    • Act as point of escalation
    • Assessment and delivery of training needs

Purchasing Admin Activity Summary

  • Raise enquiries with vendors for quotations
  • Raise Purchase Requisitions and monitor/expedite approval
  • Administrate Purchase Order cycle including acknowledgements and highlight where delivery dates do not meet expectations
  • For Indirect services check work has been completed on time and to the required standard and book in on the PO
  • Review pending invoices and GRNI listings and resolve in a timely way

Other

  • Carry out ad hoc purchasing or activities as required and provide cover as required i.e. Holidays
  • To conduct all transactions with vendors in a manner which conveys and promotes a professional image consistent with the standards set by the Chartered Institute of Purchasing and Supply
  • Undertake training as required
  • Participate in project teams and support ad hoc initiatives when required
  • Work collaboratively with key stakeholders (including global teams) to improve business performance
  • Maintain a clean, tidy and safe working environment in line with Health & Safety guidelines and business housekeeping (5S) requirements

Profile & Other Information

Experience required

  • Minimum 5yrs purchasing experience
  • Team management | Interest in team management

Education/professional qualifications required

  • Studying for CIPS qualification or equivalent
  • A Level [Business related preferable] and/or
  • Minimum 5yrs purchasing experience

Skills/aptitude

  • Self-starter (able to work in a small team)
  • Ability to navigate and assure that the UK team is aligned to all corporate initiatives policy and process (especially relating to Delegation of authority and defined strategy)
  • Raise and resolve any conflict
  • Confident and persuasive communicator/ influencer at all levels
  • Problem solver and be able to escalate issues on their own initiative
  • Strong commercial acumen | awareness
  • Financial awareness
  • Contract law awareness | understanding

  • Ability to work accurately to deadlines
  • Ability to lead and close negotiations.
  • This is a professional role in a small team in a busy office environment
