Purchasing & Logistics Coordinator
Job Type: Full-time, Permanent
Location: Bardney Airfield, just outside Lincoln
Pay: £14.92 per hour (£14.09 per hour during the 13-week trial period)
Expected start date: October 2026 onwards, or by mutual agreement
About us
Pole Star Products Ltd is an established and growing supplier of industrial fans, motors and ventilation equipment. Our sister company, HVAC Spares Ltd, specialises in supplying HVAC spare parts throughout the UK and internationally.
We are looking for an organised and proactive individual to take ownership of purchasing and logistics for Pole Star Products, while also supporting purchasing and stock replenishment for HVAC Spares.
This is a newly created role with genuine responsibility. You will help ensure we have the right stock available when needed, maintain good supplier relationships and coordinate the efficient movement of products from suppliers through to our warehouse and customers.
The position would suit someone who enjoys planning ahead, solving problems, keeping things organised and making sure everything runs smoothly behind the scenes.
The role
This is a varied, hands-on role combining purchasing, stock control and logistics coordination.
You will be responsible for maintaining stock availability, placing supplier orders, monitoring incoming stock and arranging UK and international shipments.
You will become the key point of contact for purchasing and logistics, working closely with our sales and warehouse teams as well as suppliers, couriers, pallet networks and freight companies.
As this is a newly created position, there is plenty of opportunity to make the role your own, contribute ideas and improve the way we manage purchasing, stock and logistics.
Key responsibilities
- Managing stock levels and planning replenishment
- Raising purchase orders and placing orders with suppliers
- Monitoring supplier lead times and following up outstanding purchase orders
- Maintaining accurate supplier pricing and purchasing records
- Building and maintaining good relationships with suppliers
- Organising UK parcel, pallet and courier deliveries
- Arranging international shipments and preparing shipping documentation where required
- Coordinating inward haulage and supplier collections
- Obtaining quotations and booking deliveries with courier, pallet and freight companies
- Resolving purchasing and logistics issues to minimise delays
- Maintaining accurate stock, purchasing and supplier data
- Working closely with warehouse and sales teams to ensure good stock availability and efficient customer service
- Identifying and implementing improvements to purchasing, stock management and logistics processes

What we're looking for
We're looking for someone who is organised, dependable and comfortable taking responsibility for their own area of the business.
You should have:
- Excellent organisational skills and attention to detail
- Strong communication and relationship-building skills
- The ability to prioritise and manage multiple tasks simultaneously
- A proactive, "get things done" attitude
- Confidence using computers, email, spreadsheets and business systems
- Strong problem-solving skills
- The confidence to take ownership and responsibility for your work
- The ability to work accurately in a busy environment
- A full UK driving licence due to our location
Desirable experience
Previous experience in all of these areas is not essential, but experience in any of the following would be beneficial:
- Purchasing, procurement or stock control
- Arranging courier, pallet or freight shipments
- UK and international logistics
- ERP, purchasing or stock management systems
- Manufacturing, engineering, industrial or distribution businesses

Additional information
The position is based at Bardney Airfield, just outside Lincoln.
Due to our location, applicants will normally require their own transport.
