We are looking for our next Purchasing/Vendor Specialist

The Purchasing/Vendor Specialist will be responsible for the maintenance and control of vendor management strategies and processes in support of Business Units requirements. This will involve record maintenance and management of performance reports.

The position will also be responsible for handling material order requirements for a designated group of vessels.

Some of the things you’ll be doing

  • Treat safety and environmental compliance as a top priority.
  • Approval of vendors in the system ensuring vendor add process is followed and due diligence carried out on new suppliers.
  • Maintenance and reporting of Vendor performance results, both to BU and suppliers.
  • Monitor supplier performance and highlight concerns as appropriate.
  • Implement supplier performance action plans in liaison with BUs.
  • Liaise with HSEQ and BUs regarding supplier audit programs and follow-ups as required.
  • Maintain supplier database integrity.
  • Receive and process all vessel requests for consumables and spare parts.
  • Ensure that all requisitions received from the vessel are handled and acted upon within 24 hours, special attention is to be given to urgent requisitions.
  • Obtain quotations from approved suppliers and place priced orders with overall most competitive sources, negotiate the best possible price, and obtain approval from the Vessel Manager as required.
  • Where applicable, utilize Teekay frame agreements as per the contract matrix.
  • Expedite and follow up on orders with suppliers, ensuring that the stipulated delivery times are met and, if/when missed are addressed on time.
  • Coordinate service and logistics of landed goods. Arrange shipments to/from the suppliers.
  • Ensure all items are supplied to the vessel with the required certificates and documentation.
  • In cooperation with the Vessel Manager, decide on vessel supply ports and supply strategy to ensure supply in the most convenient and economical ports.
  • Provide frequent updates on backorders to the vessel and Vessel Manager.
  • Maintain and develop professional relationships with suppliers.
  • Monitor supplier performance and provide feedback to the Procurement Manager.
  • Plan and arrange shipments of spare parts to the vessel as required.
  • Use contracted freight forwarder’s system for tracking and order consolidation.
  • Check the contracted freight forwarder’s system daily for any incoming orders, and update in purchasing system.
  • Provide a delivery manifest to notify the vessel and the Vessel Manager of all orders that have been arranged for the upcoming port call.
  • Ensure that all invoices are in agreement with the established terms and conditions.
  • Review and resolve any arising disputes with suppliers concerning price/quality delivered before the invoice is paid.
  • Regularly review commitment/invoice aging reports and take appropriate action.
  • Upon request, participate in budget and quarter-end preparations.
  • Duties, responsibilities, and activities may change, or new ones may be assigned as required.

What we are looking for

  • Bachelor's Degree holder
  • Performance measurement and control basics or equivalent experience desirable
  • Knowledge of supplier measurement and performance processes
  • Vendor interface experience
  • Strong negotiation, analytical, problem-solving, decision-making, and time management skills
  • Strong written and verbal communication skills and proven ability to work in a team-based environment.
  • High-energy individual with tenacity, good interpersonal skills, and the ability to deliver.
