Job Description
Responsibilities
Responsible for analysing and verification of incoming supplier material certification for Metals, Gaskets, Insolion and Rotabolt against customer requirements and specifications. Check and approve internal inspection reports, work with internal departments to escalate and resolve all issues, create/upload of all documentation packages.
What You'll Do at Work
- Responsible for the creation, review, and timely submission of all certification, documentation packs, and Material Record Books (MRBs), ensuring accuracy and attention to detail
- Prepare and compile documentation in line with customer due dates, ensuring all required documents are complete and available prior to despatch
- Interpret and apply customer-specific requirements to ensure all documentation is compliant and approved on the first submission
- Check and approve all internal inspection reports to ensure compliance to customer requirements prior to creation of documentation pack
- Liaise with internal departments to ensure all issues are escalated and or resolved in a timely manner
- Ensure all document packs are submitted to the customer using the appropriate channel e.g. customer portals or email
- Verify incoming supplier material certification, internal hardness, dimensional and PMI results against our purchase orders, internal and customer specifications
- Verify incoming sub-contracted and bought in supplier certification against internal and customer specifications
- Ensure all documents are accurately saved and readily accessible to relevant departments for operational and quality assurance purposes
- Responsible for the creation and updates of Customer complaints and Supplier non-conformances on the internal complaints system (MyCase) for documentation related issues.
- Liaise with relevant departments, customers and suppliers to ensure MyCase actions are thoroughly investigated. Conduct root cause and implement effective, robust corrective actions to prevent recurrence
- Ensure all NOIS are scheduled in order to complete order due dates
- Liaise with Planning and inspection to ensure NOI scheduled dates are aligned with overall production schedule
- Liaise with Customers and External inspection bodies to schedule NOIs
- Ensure endorsed documentation is uploaded to customer portals / emailed to the customer
- Notify final packaging requirement once documentation has been approved
- Support with Pre-Production Documentation and approval Coordination
- Generate and thoroughly review all pre-production documentation required for customer approval, ensuring alignment with contractual and technical specifications
- Confirm that approved procedures are in place for both raw material and subcontract suppliers. Where procedures are missing or outdated, liaise with the Purchasing Department to request and obtain the necessary documentation. Ensure all procedures are correctly saved and maintained within the documentation database for traceability and future reference
- Prepare detailed Inspection Test Plans tailored to each customer order, ensuring all inspection and testing requirements are clearly defined and compliant with customer expectations and industry standards
- Attending Pre-Production Meetings (PPMs) and ensuring effective follow-up actions
- Be the point of contact for any customer queries on certification or documentation
- Respond promptly to customer requests regarding certificates, documentation, specifications, test reports, and other quality related documentation
- Maintain records of all issued certifications and ensure documentation is up to date, traceable, and compliant with relevant standards
- Coordinate with internal departments such as production, inspection and planning teams to gather necessary information and resolve queries efficiently
- Support audits and inspections by providing requested documentation and acting as a knowledgeable point of contact for external auditors or customer representatives

What You'll Learn
- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.

Training Schedule
The apprentice will be expected to attend Craven College 1 day per fortnight with 4 days at the workplace (5 one week)
Essential Qualifications
- GCSE in:
- English (grade 4)
- Maths (grade 4)
