Location

This position will be based in the Erebus Project Office in Bristol for a minimum of three (3) days per week, with occasional travel to meetings or workshops for Erebus or Simply Blue Energy as required

Purpose of the role

Erebus is a world leading 100 MW test and demonstration floating offshore wind project located off the coast of Pembroke and is being developed by Simply Blue Energy’s Blue Gem Wind project company. Erebus was awarded a CfD in Allocation Round 7 and as a fully consented project now enters late-stage development, targeting a COD in 2030. The project is progressing through project finance structuring towards Financial Close.

The Quality and Document Control Manager will sit within the Project Excellence Solutions (PES) function and will be primarily seconded into the Erebus project, where they will play a key role in supporting the project through this critical stage of development and into execution. The Quality and Document Control Manager will ensure compliance with quality standards, regulatory requirements, and document control procedures, while maintaining accurate and accessible project information.

The successful candidate will oversee the Quality Management System and Document Management System, manage electronic document management platforms including Aconex and SharePoint, support project teams through training and guidance, and drive continuous improvement through effective processes and technology.

Alongside its primary focus on Erebus, the role will contribute to the wider PES function, sharing expertise, lessons learned and best practice to strengthen risk, design risk and change management capability across other projects and the wider organisation.

Key Responsibilities

Quality Management & Assurance

  • Develop, implement, maintain, and continuously improve the Quality Management System (QMS) in line with applicable industry standards, regulatory requirements, and organisational objectives.
  • Develop and implement quality assurance processes, including quality metrics, performance monitoring, corrective actions, and continuous improvement initiatives.
  • Identify potential quality, compliance, and document control risks and implement appropriate controls and mitigation measures.
  • Conduct regular internal compliance audits to identify areas for improvement and ensure adherence to established procedures.
  • Promote a culture of quality, accountability, consistency, and continuous improvement across the organisation.

Document Control & Information Management

  • Establish and maintain effective document control procedures, ensuring documents are appropriately created, reviewed, approved, distributed, stored, and archived throughout their lifecycle.
  • Ensure compliance with agreed Document Management Plans, document numbering conventions, document status requirements, templates, formats, and filing structures.
  • Manage and maintain Master Document Register(s), ensuring information remains accurate and aligned with programme and scope changes.
  • Establish and maintain document workflows in accordance with agreed review and approval matrices.
  • Monitor document submissions, reviews, approvals, and returns to ensure agreed deadlines are achieved.
  • Manage records retention and archiving in line with agreed schedules, including appropriate handling of sensitive/confidential data.

EDMS & Systems Administration

  • Manage the organisation’s Electronic Document Management System/Common Data Environment platforms, including Aconex and SharePoint, acting as the primary point of contact for system queries and administration.
  • Maintain user directories, access permissions, document structures, and system configuration to support effective information management.
  • Conduct regular system compliance audits, ensuring file naming, storage, access, document status, and system use remain compliant with agreed procedures.

Training, Guidance & Communication

  • Provide training, guidance, and support to employees, project teams, and contractors on quality management, document control processes, systems, and best practices.
  • Develop and maintain user guides, procedures, and quick-reference materials to support consistent application of processes.
  • Clearly communicate and present quality and document control procedures to colleagues, project teams, and contractors.

HSEQ & Project Support

  • Support HSEQ management across projects, actively contributing to the organisation’s zero-harm objective.
  • Build strong working relationships across the organisation to support effective communication, collaboration, and delivery of project requirements.

Continuous Improvement & Digitalisation

  • Proactively identify opportunities for process improvement, standardisation, automation, and effective use of technology to improve efficiency and quality.
  • Continuously review and enhance quality and document control processes to ensure they remain effective, consistent, and aligned with organisational and project requirements.

Experience and Qualifications

Required

  • Min 5 years of experience in project document control and/or quality management, preferably within large-scale, multidisciplinary projects.
  • Strong knowledge and practical experience of dedicated EDMS/CDE platforms (e.g. Aconex, SharePoint, Projectwise).
  • Experience developing, implementing, and maintaining quality and document management systems and procedures.
  • Good understanding of quality assurance, compliance, auditing, corrective actions, and risk management.
  • Excellent working knowledge of relevant industry quality standards and regulatory requirements (ISO 9001 as a minimum) and of Microsoft Office, with experience managing a wide range of document and file types.
  • Strong organisational and time-management skills, with the ability to manage multiple priorities and meet tight deadlines.
  • Exceptional attention to detail and a consistent focus on accuracy and quality.
  • Excellent communication and interpersonal skills, with the ability to work effectively with colleagues, project teams, contractors, and other stakeholders.
  • Ability to develop and maintain effective working relationships across multidisciplinary teams.
  • Confident in providing training, guidance, and support to users at all levels.
  • Proactive, self-motivated, and able to use initiative to identify and resolve issues.
  • Strong team player who works collaboratively to achieve organisational and project objectives.

Desired

  • Experience within the renewable energy sector, construction, engineering, or a similar project-based environment.
  • Experience identifying opportunities for digitalisation, automation, and process improvement within quality or document management.
