Quality Assistant - 12 Month Maternity Cover

Location: Central London (Hybrid, 2-3 office days per week)
Hours: Monday-Friday, 9:00am-5:00pm

What does a Quality Assistant role mean at Prinova?

The Quality Assistant is responsible for supporting the Quality team, with a primary focus on managing administrative activities related to the customer-focused pillar of the department. The role involves coordinating customer documentation requests, maintaining technical records, supporting compliance activities, and ensuring timely responses to customer enquiries. The successful candidate will also provide day-to-day support across the wider Quality function and assist with departmental projects and continuous improvement initiatives as required.

What to expect?

  • Manage the renewal and translation of Safety Data Sheets (SDS), ensuring documentation remains accurate and up to date.
  • Coordinate and maintain customer questionnaire requests, accurately tracking and monitoring progress through internal systems.
  • Complete customer questionnaires and technical forms using regulatory, supplier, and product information to meet agreed service levels.
  • Take ownership of customer online portals, ensuring information is maintained accurately and submitted within required deadlines.
  • Respond to technical enquiries from customers and suppliers relating to ingredients, product specifications, quality, food safety, and regulatory matters.
  • Support and contribute to continuous improvement initiatives within the Quality Management System (QMS), including participation in cross-functional projects.
  • Review and update Standard Operating Procedures (SOPs) and other controlled quality documents to ensure compliance and accuracy.
  • Prepare and complete customer questionnaires, declarations, and technical information requests in a timely manner.
  • Support the development and delivery of internal training materials and presentations.
  • Assist in the preparation and coordination of customer audits, ensuring required documentation is available and maintained.
  • Coordinate third-party laboratory testing and analysis, including sample submissions, reporting, and follow-up activities.
  • Provide general support to the Quality team, adapting to departmental priorities and business requirements as needed.

Does this sound like you?

  • Minimum 1 year's experience in a Quality, Technical, or R&D role within the food, ingredients, or supplements industry.
  • Good understanding of food industry quality standards and requirements.
  • Experience with ISO 9001, HACCP, and BRC Food Safety or BRC Agents & Brokers is necessary.
  • Knowledge of food legislation and food labelling requirements.
  • Experience supporting audits, non-conformance investigations, and customer complaints.
  • Strong written and verbal English communication skills.
  • Proficient in Microsoft Office, particularly Excel.
  • Experience with online specification management systems (e.g. QADEX, Hamilton Grant, TraceGains) is desirable.
  • Knowledge of FAMI-QS, Organic, Kosher, Halal, or IFS Logistics standards is advantageous.
