How We Started

Quality Specialist

We are looking for a detail-oriented Quality Specialist, to establish and support the Quality Management System (QMS) across our Leamington Spa Pharmacy hub, working across both the Medexpress and Dermatica brands. The successful candidate will play a key role in implementing the system, working closely with the wider Quality and Pharmacy teams to ensure the right structure, documentation and processes are embedded.

This person will maintain the Electronic Quality Management System (EQMS), ensuring it accurately reflects current practice and remains a reliable single source of truth for quality documentation. This includes maintaining and updating Standard Operating Procedures (SOPs) so they stay accurate and fit for purpose as the business evolves.

A core part of the role is ensuring that pharmaceutical products are stored, handled and distributed in full compliance with regulatory requirements, particularly Good Distribution Practice (GDP). This means working proactively to identify and manage risk.

The postholder will also be responsible for ensuring all required training is completed and evidenced across the site. Deviation and change management will sit firmly within this role, meaning any departures from expected process are properly documented, investigated and closed out, and that changes to process or system are controlled and recorded appropriately.

Finally, the role supports audit readiness and insurance requirements around supply, ensuring the business is well prepared for internal and external audits and that any findings are addressed in a timely and structured way.

Key Responsibilities

  • Assist in maintaining the Quality Management System (QMS)
  • Maintain QMS documentation, including SOPs, forms and logs
  • Assist in ensuring periodic review of procedures are carried out, keeping procedures and QMS documentation up to date
  • Ensure adherence to all applicable Standard Operating Procedures (SOPs)
  • Maintain compliance with good documentation practice and data integrity principles as defined in relevant SOPs
  • Ensure proper filing and retention of quality records

Compliance, Risk and Quality Assurance

  • Ensure compliance with Good Distribution Practice (GDP) guidelines
  • Support deviation, complaint, CAPA (Corrective and Preventive Action) and change control processes
  • Support product recall and mock recall activities
  • Assist with risk assessments and continuous improvement initiatives
  • Assist in reviewing all relevant subcontracted activities, ensuring appropriate technical agreements are in place when outsourcing GDP responsibilities
  • Assist in reviewing and maintaining bona fides for all customers and suppliers

Training, Reporting and Stakeholder Support

  • Maintain training records and coordinate GDP training for employees
  • Prepare quality reports and performance metrics as required
  • Provide support to the pharmacovigilance team, maintaining adherence to reporting and escalation processes for medical information enquiries, in line with the applicable SOP
  • Remain continuously contactable for quality matters
