About The Role
The Quality Systems Administrator plays a vital role in supporting the site's Quality Management System (QMS). The role is responsible for maintaining robust document control, ensuring compliance with customer and regulatory standards, and supporting continuous improvement across production and quality functions. A key part of the role is promoting strong awareness and understanding of site policies, procedures, and product specifications at all levels.
This position is best suited to a detail-oriented individual with excellent organisational skills and a strong commitment to food safety, quality systems, and data accuracy.
What will I be doing?
- Maintain and continuously improve the Quality Management System (QMS), ensuring documentation, procedures, records and work instructions remain compliant, accurate and up to date
- Lead site quality reporting and KPI tracking, delivering weekly and monthly insights on complaints, NCRs, audit findings, right-first-time performance and continuous improvement initiatives
- Coordinate internal audits and ensure ongoing audit readiness through effective document control, corrective actions and compliance monitoring
- Manage customer complaints and non-conformances from investigation through to resolution, driving root cause analysis and preventative actions to reduce recurring issues
- Support food safety, quality and regulatory compliance through change control, traceability programmes, supplier assurance activities and pest control management
- Partner with Production, Supply Chain and other functions to investigate quality issues, implement corrective actions and improve operational performance
- Administer quality systems and digital platforms, maintaining dashboards, reports, workflows and data integrity across the site
- Build quality capability across the business through coaching, training and knowledge sharing, while providing cover and support for key quality assurance activities when required
What do I need to be successful?
At Kinisla, we understand that people have very different career trajectories and experiences. In order to be successful in this role we would be looking for the right competencies and aptitudes as well as your proven track record of success in a similar role and environment.
These include:
- Experience working within a food manufacturing, Pharma or FMCG environment, with a strong understanding of Quality Management Systems
- Proven experience managing QMS documentation, document control processes and maintaining audit readiness
- Knowledge of BRCGS standards, customer requirements and regulatory compliance within a manufacturing setting
- Understanding of root cause analysis and problem-solving methodologies, such as 5 Whys and Fishbone analysis
- Proficient in Microsoft Office and data reporting systems, with the ability to analyse and present quality performance data
- Excellent communication and relationship-building skills, with the ability to work effectively across multiple functions
- Strong organisational skills, attention to detail and the ability to manage competing priorities in a fast-paced environment
- Proactive and adaptable approach, with a continuous improvement mindset and a willingness to take ownership and drive results
