Job title: Racing Office Executive & Owners and Trainers Liaison
Based at: Haydock Park Racecourse
Contract type: Permanent
Hours: 28 hours per week across 4 days.
About the Role
We have a fantastic opportunity for a Racing Office Executive to act as the main point of contact for all Owners & Trainers for Haydock Park Racecourse, ensuring strong relationships are built and maintained with Owners, Trainers, Industry Representatives and facility sponsors, and that they receive a high level of service at all times.

The Role
The Racing Office Executive & Owners & Trainers Liaison will:
- Act as Owners & Trainers liaison for Haydock Park Racecourse.
- Create and distribute pre-raceday information e-mails and declaration stages to Owners for each race meeting.
- Manage and control the badge collection and facilities for Owners & Trainers on racedays at Haydock Park Racecourse, ensuring an impeccable standard of service at all times.
- Oversee the smooth running of the Owners & Trainers Desk and Winning connections/Twin Oaks, ensuring staffing levels are appropriate and a high level of service is maintained.
- In conjunction with members of the wider team, manage the relationship with the Racehorse Owners Association (ROA) and other industry bodies as appropriate.
- Act as an ambassador for Haydock Park, providing a visible, professional and welcoming point of contact for Owners, Trainers, their representatives and other racing stakeholders on racedays and at relevant external events.
- Prepare, manage and monitor the relevant Owners & Trainers and racing administration budgets, approving expenditure within delegated authority, maintaining accurate forecasts and reporting material variances, risks and opportunities.
- Work closely in partnership with the Customer Relations Team in organising the production of raceday badges for Owners & Trainers and arrange coloured badges for Group One races.
- Work with colleagues across the Northwest Region and wider company to ensure consistency in plans and the approach with Owners & Trainers, ensuring that best practice is shared to the ultimate benefit of the Owners & Trainers’ experience across the courses.
- Organise all Haydock Park Chairman & Committee Luncheons / Dinners as required.
- Manage all Owners & Trainers’ complaints and enquiries, ensuring they are responded to accordingly and in a timely manner.
- Review and approve all charity requests where appropriate, co-ordinating and distributing vouchers as required.
- Support the racecourse team with ad-hoc general admin duties that may arise.
- Diarise regular meetings for colleagues and teams.
- Comply with all Health & Safety regulations, safe working practices, the Company’s Health & Safety Policy and Procedures, HSMS, management instructions, and relevant risk assessments and mandatory training for the role.

- Highly organised and process driven
- Excellent communication skills (written & verbal)
- Excellent telephone manner
- Previous experience in an office environment with strong administrative skills and the ability to multitask.
- Computer Savvy with experience using Microsoft Word / Excel / Outlook.
- Proactive approach to work capable to work alone and as part of a team.
- Strong attention to detail.
