Real Estate Administrator

Salary: £20,000–£24,000 per annum, depending on experience
Working Hours: Monday–Friday, 9:00am–5:00pm
Job Type: Full-time
Location: Ealing, W13

We are looking for a highly organised and proactive Real Estate Administrator to join our property team in Ealing, W13. The successful candidate will provide administrative support across our property portfolio, assist with the lettings process, and communicate with landlords, tenants, contractors, and other relevant parties.

Key Responsibilities

  • Managing the day-to-day administration of residential properties
  • Assisting with the letting and onboarding process for new tenants
  • Conducting and managing tenant referencing and right-to-rent checks
  • Preparing and drafting tenancy agreements and other property-related contracts
  • Sending contracts and documents for electronic signature via DocuSign
  • Following up on outstanding signatures and documentation
  • Maintaining accurate property, landlord, and tenant records
  • Managing property files and ensuring all relevant documents are up to date
  • Communicating with landlords, tenants, contractors, and suppliers
  • Dealing with tenant enquiries and responding to queries professionally
  • Managing and resolving tenant and landlord complaints, escalating issues where necessary
  • Coordinating maintenance requests and liaising with contractors
  • Monitoring outstanding repairs and following up to ensure issues are resolved
  • Arranging property inspections, appointments, and viewings where required
  • Assisting with property listings and ensuring property information is accurate and up to date
  • Managing emails and telephone enquiries
  • Preparing reports, correspondence, and other administrative documents
  • Keeping track of important dates, tenancy renewals, and property-related deadlines
  • Providing general administrative and organisational support to the property team
  • Ensuring a high level of customer service is maintained at all times

Skills & Experience

  • Previous experience in administration, property, lettings, or customer service is desirable
  • Experience with tenancy agreements, referencing, or property management would be an advantage
  • Strong written and verbal communication skills
  • Excellent organisational and time-management skills
  • Strong attention to detail and accuracy
  • Confident dealing with tenants, landlords, and contractors
  • Ability to handle complaints and difficult situations professionally
  • Good computer skills and confidence using Microsoft Office
  • Experience with DocuSign or similar electronic-signature platforms is beneficial
  • Ability to prioritise tasks and work independently
  • Professional, reliable, and positive attitude
