Job Purpose
To provide front of house service to visitors and contractors, administrative support to departments across the business and coordination of general office requirements.
Directly Reports to
HR Business Partner - UK & Europe
Internal Relationships
HR Team and all other internal departments
External Relationships
Clients & Contractors
Main Responsibilities
Reception Duties
- Provide a polite and efficient welcome to all visitors to the facility.
- Promptly and politely answer and direct all phone calls to relevant employees.
- Ensure all visitors sign in and out of the facility.
- Handle all mail in accordance with the correct mailing procedure.
- Conducting site inductions for all contractor visits.
HR Duties
- Manage the recruitment mailbox and issue all applications to relevant regional representative.
- Issue regret emails to unsuccessful candidates.
- Support in updating Job Descriptions.
- Support in input of new hires into AX system.
- Prepare and issue employee letters and vouchers.
- Support in driving Health & Wellbeing Events across the company.
- Support in raising Purchase Requisitions for the department.
- Support in the scheduling of interviews.

Office Duties
- Ordering PPE for new starts.
- Ordering and coordinating catered lunches.
- Maintaining stationary stock.
- Providing administrative support to Project and Design Engineering Teams.
- Supporting in the processing of timesheets for Engineering staff.
Individual Quality and Safety Responsibilities
- To comply with STATS and Client quality, safety and environmental management systems and procedures at all times.
- Ensure all accidents / incidents / near misses / hazards are immediately reported and relevant paperwork is complete.

STATS Mandatory Courses Including
- Environmental Awareness
- COSHH Awareness
- GDPR Awareness
- Management of Change
- Near Miss Reporting
- All other relevant courses
STATS Internal Course - Basic Level
- Tecno Plug, BISEP, Remotes, Hot Tapping etc

EXPERIENCE / Competence / Skills / Knowledge
- Confident user of Microsoft Word, Excel, PowerPoint and Outlook.
- Experience in a fast-paced office environment.
- Good attention to detail.
- Ability to multitask and be flexible to business needs.
- Good communication skills both written and verbal.
Qualifications
- Computer literacy.
