Salary: Β£14ph

Hours: 40 hours per week (08:00 – 17:00)

Contract: Temporary

When: September to November (covering periods of annual leave)

Location: City of London - fully office-based, 5 days per week onsite (no hybrid or remote)

πŸš€ Culture Guru is recruiting a confident, organised Reception Administrator to provide holiday cover for a well-established construction and fit-out business. This is a temporary role for September, October, and November to keep the busy head office running smoothly while a key team member is away.

⭐ It would suit someone available immediately for temporary work who can hit the ground running: greeting clients, project teams and contractors with a smile, taking genuine pride in a tidy, well-run office, and juggling reception duties alongside varied business administration without dropping a ball - the person everyone can rely on from day one.

πŸ“¬ The wider team is already in place, so your focus is purely on what you do best for the duration of the cover: running a seamless front-of-house and keeping the office humming. Please note this is a fully office-based, temporary role, five days a week, with no hybrid or remote working.

πŸ€“ Responsibilities of the role, but not limited to:

  • Meeting and greeting clients, professional teams and contractors, and making every visitor feel welcome
  • Managing the meeting room diary – making sure rooms are set up, IT is working, refreshments are stocked and spaces are left ready for the next booking
  • Answering incoming calls, taking messages, and filtering and transferring as appropriate
  • Processing staff expenses and business mileage claims, liaising with the accounts team
  • Setting up and managing stationery accounts and the wider office stock ordering system
  • Arranging courier bookings and keeping accurate records
  • Data input and record maintenance on the company CRM system
  • Handling incoming and outgoing post, deliveries and offsite archiving
  • Occasional scanning, printing and binding of documents, plus keeping the staff list up to date
  • Supporting the Reception Manager with day-to-day office management and facilities coordination
  • Being the custodian of a tidy, presentable office and helping maintain a high standard throughout
  • Assisting with building maintenance and repairs – liaising with contractors and helping ensure issues are resolved promptly
  • Supporting Health, Safety and Environmental administration to keep the office compliant
  • Maintaining documentation for company pool cars (insurance, breakdown cover, MOT, servicing)

😍 Desirable attributes of the successful candidate:

  • Available immediately for a temporary, fixed-term assignment
  • Previous experience in a busy office or front-of-house environment
  • A confident, professional telephone manner and a smart, presentable approach to greeting guests
  • Strong attention to detail and a methodical, organised way of working
  • The ability to prioritise, stay calm and stay effective under pressure
  • A clear, articulate and positive communicator
  • Proficient in Microsoft Office
  • Comfortable working independently and using your own initiative
  • Educated to GCSE grade C / level 4 (or equivalent) in English and Maths as a minimum
  • Confident and assertive when needed – able to hold the line with colleagues at all levels to keep things running smoothly
  • Reliable, trustworthy, energetic and a genuine team player with a real "can do" attitude
