Reception Assistant (Fridays Only) - Bourne, Lincolnshire, UK
We have an exciting opportunity for a Reception Assistant to join our Document Production Team based in our Bourne office.
We are seeking an individual with excellent communication and customer service skills who enjoys working in a professional, client-focused environment. Previous reception, administration, or office experience would be advantageous, although full training will be provided.
The successful candidate will be responsible for providing a professional first point of contact for clients and visitors, ensuring fee earners are informed promptly when clients arrive for appointments, and accurately taking and relaying messages. They will also support our Document Production Team with typing, digital dictation, voice recognition, and filing duties across the business.
Location: Bourne
Department: Document Production Team
Hours: 8:30am - 5:15pm, Fridays only
Salary: £5,130 per annum (£25,650 FTE)
Key Responsibilities
- Provide outstanding levels of client service to clients attending the office or calling in.
- Ensure clients are provided with refreshments.
- Maintain a clean and tidy reception area.
- Dealing with incoming and outgoing mail;
- Closing files in accordance with procedures;
- Maintaining the office archive system;
- Maintaining petty cash and ensuring payment of authorised expenses, entering information on the accounts database, raising cheques, daily banking duties;
- Initial responsibility for health and safety, accident reporting and First Aid matters as per the Health and Safety policy.
- Support the Team Leader as necessary with administrative duties.
- Maintain high levels of client and company confidentiality.
- Take telephone calls on behalf of all staff and convey messages in a timely manner.
- To arrange appointments as required.
- To ensure appropriate information is recorded on the appropriate file management system.
- Create and maintain accurate records.
- Store and retrieve Wills and Deeds as requested and maintain company’s database for the same.
- Transcribe information from manual document or audio.
- To perform all necessary typing/word-processing, accurately and to deadline within the pool environment across all areas of the law.
- To keep work up-to-date – adopting the oldest/most urgent first principle.
- Undertake other duties, as appropriate as directed by the Team Leader.
- Work as a team member.

Candidate Profile
Essential Experience
- Reception, administration, or office experience.
- Excellent communication and client service skills, with the ability to build positive relationships and provide a professional and responsive client experience.
- High level of competency in using Microsoft Office (Word, PowerPoint, Excel).
Desirable Experience
- Secretarial qualification or equivalent experience.
- Experience of working in a law firm.
- Competent in using case management systems.
