Role Purpose:

As the first point of contact for visitors, clients, contractors, and employees, the Reception & Business Administrator plays an important role in creating a welcoming, professional, and well-organized environment.

With a primary focus on reception and front-of-house services, you will also provide administrative support across the Business Support function, helping to ensure business processes run efficiently and colleagues receive a high level of service.


Responsibilities & Duties:

Reception & Front of House:

  • Deliver a professional and welcoming reception service, ensuring visitors and callers receive an excellent first impression
  • Manage front-of-house activities, visitor access, and communications in accordance with company procedures
  • Be vigilant in maintaining site security by monitoring who is coming through the lobby
  • Coordinate deliveries, post, telephone enquiries, and general reception activities
  • Maintain a safe, organised, and professional reception environment
  • Ensure reception records and documentation are accurate, current, and maintained to company standards
  • Act as the central point of contact for employees and acting as the first point of communications. Providing support to employees as may be required.

Business Administrator:

  • Provide administrative support across the Business Support team, including HR, Training, Operations, and Leadership
  • Maintain accurate business records and support employee administration throughout the employment lifecycle
  • Assist with meetings, travel, training activities, purchasing, and employee events
  • Produce reports and maintain documentation that supports the effective operation of the business.

Continuous Improvement:

  • Contribute to improving administrative and reception processes by identifying opportunities to increase efficiency, consistency, and service quality
  • Support the development and maintenance of departmental procedures and documentation.

Collaboration & Cross-Cover:

Business Support operates as one team. You will work collaboratively with colleagues, developing knowledge across both Reception and Business Administration to provide cover during annual leave, absence, and periods of increased business activity, ensuring a consistent service is maintained.

Working Relationships:

You will work closely with colleagues across Business Support, HR, Training, Operations, Finance, and Leadership, building positive relationships with employees, clients, contractors, and visitors.

Working Pattern:

This role operates on a rota basis to support the needs of the business.

  • You will be required to work a variety of shifts across five days from seven, including early and late shifts where required. Flexibility is essential to meet changing business and operational requirements.
  • Weekend and out-of-hours working is normally required between May and July each year.

Knowledge, Skills & Experience:

Essential:

  • Previous experience in a reception, customer service, or administrative role
  • Experience using a multi-user phone system and effective call handling
  • Excellent communication and interpersonal skills
  • Able to build relationships with internal and external stakeholders
  • Excellent written and verbal communication skills
  • Strong organisational skills with the ability to prioritise competing demands
  • High level of accuracy and attention to detail
  • Good IT skills, including Microsoft Office and the ability to learn new business systems
  • The ability to manage multiple priorities while maintaining high standards
  • Professional and approachable, and demonstrates a strong sense of customer service
  • Must be eligible to work in the UK.

Desirable:

  • Experience within a busy operational or logistics environment
  • Experience using integrated business management systems
  • Experience supporting multiple departments.

Flexibility:

As part of a dynamic business, priorities can change. You may occasionally be asked to undertake other duties that are appropriate to the level of the role, helping to support the Business Support team and the wider business. Our operating hours are 8am to 8pm Monday to Sunday. Standard working hours are 40 hours per week, 9am to 6pm, Monday to Friday, with an unpaid break of 60 minutes. However, there is a requirement to work some shifts and weekend days on a shared rota basis during our busy periods (May to July). Therefore, flexibility is important to us.
