Reception and Business Support Officer

Are you a welcoming, organised and confident communicator who enjoys helping people and being at the centre of a busy working environment? Greater Manchester Combined Authority (GMCA) is looking for an enthusiastic Reception and Business Support Officer to help provide a professional, friendly and efficient front-of-house service for visitors, partners and colleagues.

This is a varied and rewarding role. You will often be the first point of contact for people visiting or contacting the organisation, helping to create a positive first impression and supporting the smooth day-to-day running of the office. You will work with colleagues across GMCA, Greater Manchester Fire and Rescue Service, local authorities, Greater Manchester Police, public sector partners, private sector organisations and the voluntary and community sector.

About The Role

No two days will be the same. You will welcome visitors, respond to enquiries, help manage correspondence, support meetings and provide high-quality administrative support to colleagues and senior officers. The role is ideal for someone who enjoys working with people, takes pride in providing excellent customer service and can stay calm, professional and helpful in a busy environment.

You will play an important part in ensuring visitors, partners and colleagues receive a positive, professional and responsive service, while also contributing to the wider work of the Governance, Scrutiny and Business Support Teams.

In This Role, You Will

  • Provide a welcoming, professional reception service for visitors, partners and colleagues.
  • Build positive working relationships with internal colleagues, external partners and senior stakeholders.
  • Respond to a wide range of enquiries in a courteous, helpful and professional way.
  • Provide high-quality administrative and business support, including using IT systems to maintain information and produce reports.
  • Support meetings by preparing agendas, attending meetings and producing notes when required.
  • Help keep office processes, supplies and reception arrangements running smoothly.
  • Work flexibly across different teams and support service improvement.

About You

We are looking for someone who is approachable, organised and confident dealing with people at all levels. You will have good communication skills, attention to detail and the ability to prioritise work in a busy environment. You do not need to know everything about GMCA from day one, but you should bring enthusiasm for public service, a willingness to learn and a commitment to providing an excellent service.

  • Provide business support and administration to meet the support needs of the service, managing performance and development needs to achieve work objectives and service priorities.
  • Provide business support and administration to effectively contribute to the monitoring, evaluation and improvement of all business support activities and housekeeping protocols that support the needs of the service and corporate initiatives.
  • Contribute effectively to the design, implementation and maintenance of high-quality management information systems and business support activities, providing comprehensive advice to stakeholders.
  • Deal efficiently and courteously, with tact and diplomacy, to all queries and correspondence, both written and verbal from a wide range of internal and external customers.
  • Use initiative and established procedures to resolve queries at the first point of contact or escalate when appropriate to managers within agreed timescales and procedure.
  • Update and extract information from management information systems accurately and competently as required including the retrieval and collation of reports to agreed procedure.
  • Provide accurate research and analysis support where required and produce a range of high-quality communication, such as emails, reports and briefing notes for various audiences and purposes including complex, confidential and sensitive correspondence.
  • Complete all documentation and correspondence accurately and to a high standard in line with procedures and within agreed timescales.
  • Provide support to senior officers as required, including attendance at meetings, taking of notes/minutes of meetings as required.
  • Procure, monitor and maintain office stationary and equipment, ensuring changes are made in line with procedures, budgets and agreed timescales.
  • Work collaboratively with colleagues and stakeholders to enhance the role of business support throughout the GMCA.
  • To undertake any other duties commensurate with the grade and level of the post.
  • Personal commitment to continuous self-development and service improvement.
