UKCBC operates as a teaching focused provider. Academic standards, curriculum design and awards are set by awarding body partners. UKCBC is responsible for ensuring that teaching delivery, assessment administration, academic support and the wider learning environment enable students to meet those standards and progress successfully through their studies and into positive destinations.
Job Purpose
The Reception & Safety Officer is responsible for providing a professional, welcoming and well managed first point of contact for students, staff, visitors and contractors, while supporting a safe, respectful and secure campus environment.
Based primarily at reception, the postholder will manage day to day front of house activity, visitor access and general enquiries, while maintaining awareness of activity across the campus and responding appropriately to incidents, challenging behaviour or safety concerns.
The role requires someone who is approachable and service focused, but also confident, resilient and able to exercise sound judgement when situations become difficult. The postholder will be expected to know when to assist, when to challenge and when to escalate.
Working closely with the Estates Manager and colleagues across UKCBC, the Reception & Safety Officer will contribute to a positive student and visitor experience while supporting the effective day to day operation and safety of the campus.
Key Responsibilities
3.1. Reception and Front of House
- Act as the primary first point of contact for students, staff, visitors, contractors and prospective students arriving at UKCBC.
- Provide a professional, friendly and efficient reception service.
- Welcome visitors and establish the purpose of their visit.
- Direct students, visitors and colleagues to the appropriate individual, department or service.
- Manage visitor sign-in, identification and access arrangements in line with UKCBC procedures.
- Respond to general enquiries in person, by telephone and through designated channels.
- Support students who are unsure where to go or which service they require.
- Maintain a professional, organised and welcoming reception environment.
- Receive post, deliveries and contractors and coordinate these appropriately.
- Maintain awareness of expected visitors, events and activity taking place across the campus.
- Support administration and record keeping.

3.2. Campus Safety and Access Control
- Support the effective management of access to the campus.
- Appropriately challenge individuals attempting to access the building without legitimate reason or appropriate identification.
- Monitor entrances, reception areas and other key spaces.
- Maintain awareness of unusual, concerning or disruptive behaviour.
- Respond calmly and proportionately to incidents involving challenging or inappropriate behaviour.
- Use de-escalation techniques wherever reasonably possible.
- Seek support and escalate concerns where an incident cannot be safely or appropriately managed.
- Support emergency procedures including evacuation, lockdown and incident response where required.
- Liaise professionally with emergency services, building management or other external organisations when necessary.
- Support the operation of CCTV, access control or other relevant systems where trained and authorised to do so.
- Accurately record incidents, concerns and actions taken.
3.3. Campus Operations
- Support the Estates Manager with the effective day to day operation of the campus.
- Identify and report maintenance issues, hazards, defects and health and safety concerns.
- Conduct routine checks of reception, entrances, communal spaces and other designated areas.
- Support campus opening, closing or readiness checks where required.
- Assist with visitor and contractor access arrangements.
- Monitor general standards within public and communal areas and report issues appropriately.
- Support room access and basic operational arrangements where required.
- Assist with the implementation of emergency, fire safety and business continuity arrangements.
- Raise recurring operational concerns with the Estates Manager and contribute to practical solutions.
3.4. Incident Management
- Respond promptly and professionally to incidents occurring within or around reception and other designated campus areas.
- Remain calm when dealing with difficult, confrontational or emotionally charged situations.
- Assess situations and take proportionate action within the boundaries of the role.
- Escalate serious incidents promptly through the appropriate UKCBC procedures.
- Maintain accurate written records of incidents and actions taken.
- Support post-incident reviews where required.
- Maintain confidentiality and handle sensitive information appropriately.

Essential criteria
- Ability to provide a professional and welcoming reception presence.

- SIA licence (Door Supervisor or Security Guarding) or willingness to obtain.
- Experience in a customer facing, facilities, security or similar operational role.

- Experience in facilities, estates or building operations.
- Knowledge of health and safety procedures.
- Experience working in an education environment.
- First Aid at Work or Emergency First Aid certification.
- Fire Marshal or Fire Warden training.
- Health and Safety training.
- Manual handling training.

- Experience working with adult learners or diverse communities.
- Experience using CCTV, access control or visitor management systems.
