Role Description
This is a front-of-house role with a genuine pathway into executive support. At its core, you will be responsible for delivering a consistently professional, welcoming experience at our London office—acting as the first point of contact for visitors, clients, and the wider team.

Alongside this, you will take on a growing set of Executive Assistant duties supporting our C-Suite, giving you real exposure to senior leadership and the foundation to develop into a full EA role over time.
Responsibilities
Front of House & Office Operations
- Serve as the first point of contact for visitors, clients, and guests—delivering a warm, professional, and polished front-of-house experience.
- Manage the reception desk, including answering and directing calls, handling deliveries, and maintaining visitor logs.
- Oversee meeting room bookings and ensure rooms are set up and ready in advance of meetings.
- Maintain office supplies, equipment, and vendor relationships, ensuring the office is well-stocked and operational at all times.
- Support the onboarding of new joiners, including desk setup coordination and office orientation.
- Assist in facilitating internal events as directed by the Events and Communications lead.
- Ensure front-of-house and communal areas are consistently presentable and reflect our standards.
- Uphold confidentiality and data protection standards across all visitor and administrative processes.
Executive Assistant Support
- Assist with diary and calendar management for C-Suite executives, helping to keep priorities straight and schedules on track.
- Coordinate meetings and appointments end to end, including preparation of agendas, briefing materials, and follow-up action tracking.
- Draft and review executive correspondence, presentations, and documentation to a high standard.
- Arrange domestic and international travel—including flights, accommodation, ground transport, and detailed itineraries.
- Support expense management and invoice processing in line with company policy.
- Assist with the coordination of leadership team meetings, including logistics, papers, and action tracking.
- Handle confidential business matters and ad hoc projects with discretion and sound judgement.

Requirements
- Experience in a busy, professional reception or front-of-house role, ideally within a corporate, financial services, or technology environment.
- A polished, confident front-of-house presence—comfortable as the face of the business for senior visitors and clients.
- Some exposure to EA or executive admin duties, whether formal or informal—diary management, travel booking, correspondence, or meeting coordination.
- Exceptional written and verbal communication skills.
- Strong organizational skills and meticulous attention to detail.
- Proficient in Microsoft 365 (Outlook, Teams, Word, Excel) and confident picking up new tools and platforms quickly.
- Calm and composed when managing competing demands, with a proactive and self-sufficient mindset.
- High degree of discretion and professionalism when handling confidential matters.
- Comfortable in a fast-paced, growth-stage company where priorities can shift.
- Experience with visitor management systems or booking tools is advantageous.
