The Opportunity
We are seeking an exceptional Reception & Office Manager to join the launch team of 26 Grosvenor Street, Coterie’s newly refurbished headquarters and private hospitality venue in the heart of Mayfair.
Opening in October 2026, 26 will serve as both the headquarters of Coterie Holdings and an elegant destination for private dining, fine wine tastings, business meetings and exclusive events. Designed to the highest standards, the six-storey townhouse will welcome colleagues, wine producers, private clients, hospitality partners and invited guests from around the world.
This is a unique opportunity to play a key role from day one, helping shape the guest experience, office operations and culture of one of Mayfair’s most exciting new destinations.
Role Summary
As our Reception & Office Manager, you will be the first point of contact for our Mayfair headquarters, creating an exceptional first impression for every guest, client and colleague who walks through our doors.
Combining luxury hospitality with office management, you will ensure our beautifully designed townhouse operates seamlessly while delivering the warm, polished and discreet service that defines the Coterie brand.
Working closely with the Guest Relations Manager and Events Coordinator, you will oversee reception operations, coordinate meeting spaces, support the day-to-day running of the office and ensure every area of the building is presented to the highest possible standard.

This is a hands-on role for someone who thrives in a fast-paced, service-led environment and takes genuine pride in creating memorable experiences while maintaining impeccable operational standards.
Primary Responsibilities
Guest Experience
- Deliver a warm, professional and discreet welcome to all employees, clients and guests.
- Manage visitor arrivals, guest registration and refreshments while ensuring hosts are notified promptly.
- Maintain an immaculate reception area and ensure every guest enjoys a seamless arrival experience.
Office Operations
- Oversee the day-to-day running of our Mayfair headquarters, ensuring the building operates efficiently and professionally.
- Coordinate meeting room and boardroom bookings, ensuring each space is fully prepared with refreshments, technology and exceptional presentation.
- Manage office administration, stationery and day-to-day operational requirements.
Building & Facilities
- Act as the primary liaison for cleaning contractors, maintenance providers, IT support and other building suppliers.
- Coordinate deliveries, courier services and fine wine shipments with care and attention.
- Monitor stock levels of office and hospitality supplies.
- Support health and safety compliance, including Fire Warden and First Aider responsibilities (training provided).
Collaboration
- Work closely with the Guest Relations Manager and Events Coordinator to ensure daily business operations and private events run seamlessly together.
- Help maintain the exceptional standards expected throughout every area of 26.
Required Skills & Experience
- Minimum 2–3 years' experience in office management, reception, luxury hospitality, or executive support.
- Previous experience within a luxury hospitality, private members' club, luxury hotel, or premium corporate environment is highly desirable.
- Excellent written and spoken English (additional languages are advantageous).
- Highly organised with exceptional attention to detail.
- Professional, polished, and confident front-of-house presence.
- Warm, discreet, and naturally welcoming personality.
- Excellent communication and interpersonal skills.
- Strong organisational and time management abilities, with the capacity to prioritise multiple tasks.
- Able to work independently and take ownership of responsibilities.
- Flexible approach to working hours, with occasional evening support for events.
- Calm under pressure with excellent problem-solving skills.
- High level of discretion when handling confidential information.
- A genuine understanding of luxury service standards and the ability to build meaningful relationships with members, guests, clients, and suppliers.

Required Technical Skills
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Experience using SevenRooms or similar CRM and reservation management systems.
- Strong calendar and meeting management skills.
- Confident managing booking and reservation systems.
- Basic invoice processing and expense administration.
- General office administration, filing, and document management.
- Comfortable using cloud-based systems and digital collaboration tools.
