Overall Purpose of the Role
The Reception Supervisor is responsible for leading the day-to-day delivery of front-of-house services, ensuring an exceptional experience for all visitors, clients, and colleagues. The role oversees the smooth operation of reception and meeting room services, supports the reception team, and works closely with the wider workplace teams to ensure consistently high standards are maintained.
The Reception Supervisor will drive service excellence, support process improvements, and act as a role model for customer service, professionalism, and team engagement.

Essential Skills & Experience
- Previous experience in a supervisory role within a corporate reception, hospitality, or customer service environment
- Strong understanding of front-of-house operations and meeting room management
- Excellent customer service and interpersonal skills
- Strong organisational skills with the ability to prioritise a busy workload
- Excellent verbal and written communication skills
- Ability to remain calm and professional under pressure
- Experience working within a fast-paced, client-focused environment
- Strong attention to detail and problem-solving abilities
- Proficient in Microsoft Office and workplace management systems
Key Responsibilities
Client Care
- Monitor reception and meeting room services to ensure procedures are consistently followed and service standards are maintained
- Ensure all visitors, clients, and colleagues receive a professional and welcoming experience
- Manage and resolve complaints, concerns, and service issues promptly, escalating where appropriate
- Build strong relationships with clients, visitors, service partners, and internal stakeholders
- Optimise meeting room occupancy and usage whilst maintaining the highest standards of service delivery
- Ensure all meeting room bookings, catering requests, and additional service requirements are accurately managed and communicated
- Respond to enquiries in a professional, efficient, and timely manner
- Drive continuous improvement initiatives that enhance the client experience

Teamwork and Communication
- Lead, support, and supervise the reception team to ensure consistently high standards of service
- Monitor team performance and provide coaching, guidance, and on-the-job training where required
- Plan and organise reception desk coverage, ensuring adequate staffing across all service hours
- Maintain effective communication between Reception, Hospitality, Facilities, and other service partners
- Share business updates and operational information with the team
- Support the onboarding and training of new team members, completing training documentation where required
- Build strong working relationships with colleagues, service partners, building occupants, and management teams
- Communicate professionally and effectively with all stakeholders, demonstrating accuracy and attention to detail
- Provide support during periods of absence, annual leave, and increased business demand
- Carry out any other reasonable duties requested by management

Operational Excellence
- Conduct regular audits of front-of-house services and implement corrective actions where necessary
- Ensure reception areas, meeting rooms, and service points remain presentable and operational at all times
- Manage reception stock, stationery, and essential supplies to ensure service continuity
- Complete reports, administration tasks, and operational documentation to the required standard
- Ensure reception service hours are effectively managed and adequately resourced
- Maintain awareness of all Health and Safety requirements within front-of-house areas, reporting concerns appropriately
- Support the implementation of new processes and systems that improve efficiency and service delivery
- Maintain confidentiality regarding all company and client information
Personal Presentation
- Maintain a professional, polite, and considerate manner at all times
- Adhere to uniform and presentation standards as per company guidelines
- Act as a role model for professionalism, customer service, and company standards
