Overall Purpose of the Role

The Reception Supervisor is responsible for leading the day-to-day delivery of front-of-house services, ensuring an exceptional experience for all visitors, clients, and colleagues. The role oversees the smooth operation of reception and meeting room services, supports the reception team, and works closely with workplace partners to maintain consistently high service standards.

The Reception Supervisor will champion service excellence, drive continuous improvement initiatives, support team development, and act as a role model for professionalism, customer service, and engagement.

Essential Skills & Experience

  • Previous supervisory experience within a corporate reception, hospitality, or customer service environment.
  • Strong understanding of front-of-house operations and meeting room management.
  • Excellent customer service and interpersonal skills.
  • Strong organisational skills with the ability to prioritise competing demands.
  • Excellent verbal and written communication skills.
  • Ability to remain calm, professional, and solution-focused under pressure.
  • Experience in a fast-paced, client-facing environment.
  • Strong attention to detail and problem-solving skills.
  • Proficient in Microsoft Office and workplace management systems.

Key Responsibilities

Client Care

  • Ensure all visitors, clients, and colleagues receive a welcoming, professional, and seamless experience.
  • Monitor reception and meeting room services to ensure procedures are followed and service standards are consistently achieved.
  • Manage and resolve service issues, complaints, and enquiries in a timely and professional manner, escalating where necessary.
  • Build and maintain strong relationships with clients, visitors, service partners, and internal stakeholders.
  • Ensure meeting rooms are utilised effectively and maintained to the highest standards.
  • Manage meeting room bookings, catering requests, and additional service requirements accurately and efficiently.
  • Drive continuous improvement initiatives that enhance the client experience.
  • Promote a culture of service excellence across all front-of-house operations.

Teamwork and Communication

  • Lead, motivate, and support the reception team to deliver consistently high standards of service.
  • Provide coaching, guidance, and on-the-job training to support team development.
  • Coordinate reception desk coverage and staffing requirements to ensure seamless service delivery.
  • Maintain effective communication with Reception, Hospitality, Facilities, and other workplace service teams.
  • Share operational updates and key business information with the team.
  • Support the onboarding and training of new team members, ensuring all training records are completed.
  • Build strong working relationships with colleagues, management teams, service partners, and building occupants.
  • Communicate professionally and effectively with all stakeholders.
  • Provide additional support during periods of absence, annual leave, and increased business demand.
  • Undertake any other reasonable duties as requested by management.

Operational Excellence

  • Conduct regular reviews and audits of front-of-house services, implementing corrective actions where required.
  • Ensure reception areas, meeting rooms, and service points remain presentable, stocked, and fully operational.
  • Manage stationery, supplies, and reception inventory to support service continuity.
  • Complete operational reports, administrative tasks, and documentation accurately and within required timescales.
  • Ensure reception services are appropriately resourced and effectively managed throughout operational hours.
  • Maintain awareness of Health and Safety requirements and report concerns promptly.
  • Support the implementation of new processes, systems, and initiatives that improve efficiency and service delivery.
  • Maintain strict confidentiality regarding company, client, and employee information.

  • Maintain a professional, courteous, and considerate manner at all times.
  • Adhere to company uniform and presentation standards.
  • Act as a role model for professionalism, customer service, and company values.
