Job Description
An opportunity has arisen to join the Corporate Services team at Cubico Sustainable Investments as a Receptionist. Reporting into the Executive Assistant & Office Manager, this role has responsibility for assisting with managing office operations.
Based from our London headquarters, you will be required to be in the office five days per week (Monday-Friday).
Job Requirements
- Previous experience in a receptionist or administrative role is preferred.
- Strong organisational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain a professional demeanour in all interactions.
- Attention to detail and a proactive approach to tasks.
- Ability to work both independently and as part of a team.

Job Responsibilities
Front of House
- Maintain a tidy and presentable reception area at all times.
- Manage meeting room allocations, ensuring appropriate scheduling and setup.
- Report any issues in meeting rooms to the Office Manager and IT department.
- Greet visitors warmly.
- Answer incoming calls professionally and direct them appropriately.
- Assist international guests and external visitors.
General Administrative Duties
- Coordinate courier services and manage incoming and outgoing mail.
- Monitor office conditions and report issues to the Office Manager.
- Liaise with cleaning contractors.
- Order business cards for the London team and maintain stationery supplies.
Team Assistance
- Provide diary and administrative support to local functional head team member.
- Cover responsibilities of the Team Assistant during their absence.

Office Events Coordination
- Organise monthly birthday celebrations, including team notifications, kitchen orders, and setup.
- Plan monthly office lunches and collaborate on bi-monthly office treats with the Office Manager.
- Manage logistics for board meetings, including room setup, catering, and on-the-day assistance.
Kitchen Management
- Oversee the general upkeep including inventory maintenance and organisation of the main and Executive Committee (ExCom) kitchen.
