The Opportunity

We're looking for a proactive, organised, and people-focused Office Experience Coordinator to become the heartbeat of a fast-paced, creative workplace. This role is far more than reception and administration. It's about creating an environment where colleagues, clients, and visitors feel welcomed, supported, and looked after from the moment they arrive. You'll combine outstanding customer service with operational excellence, bringing energy, personality, and professionalism into everything you do.

What You'll Be Known For

Creating Moments that Matter through Workplace Experiences

  • Delivering warm, engaging, and professional welcomes to colleagues, clients, and visitors
  • Acting as the first point of contact and creating positive first impressions

  • Supporting visitors and clients to ensure every interaction feels seamless and effortless
  • Building strong relationships across teams and becoming the trusted “go-to” person within the office

Owning the Workplace Environment

  • Managing reception and ensuring the front-of-house experience always feels professional, polished, and welcoming
  • Coordinating meeting room bookings and ensuring spaces are fully prepared for meetings, interviews, and presentations
  • Supporting deliveries, post, couriers, and workplace logistics efficiently
  • Ordering office and kitchen supplies to keep the workplace running smoothly
  • Taking pride in the presentation, organisation, and energy of the office environment

Required

Because of the nature of the business and the confidential work taking place on site, successful candidates will be required to:

  • Sign a confidentiality and non-disclosure agreement
  • Complete a DBS check
  • Successfully pass 5-year employment vetting and extensive background screening

Discretion is hugely important in this role. You'll be trusted with access to a highly creative environment where confidentiality, professionalism, and attention to detail matter every single day.

Driving Operational Excellence

  • Processing invoices, receipts, and expenses accurately and efficiently
  • Supporting office processes and identifying opportunities to improve ways of working
  • Monitoring security systems and escalating concerns appropriately
  • Supporting the Office Manager and wider Operations team with day-to-day workplace activity
  • Taking ownership of tasks and ensuring nothing falls through the cracks

You bring structure, organisation, and calm to a busy environment.
