Providing a welcoming front of house service to all visitors to IGI UK. This includes answering and fielding phone calls, distributing letters to the correct department / person and providing administrative assistance to all at IGI UK.

Key Responsibilities
- Run the reception area: answer and field all incoming calls and transfer as appropriate
- Meet and greet our visitor, announce visitors to our employees before showing them to the brokers lounge.
- Day to day running of the office: booking meeting rooms, restocking photocopier paper, change toners for the printers, ensure stationary is always of a good supply, keep coffee/ refreshment areas fully stocked, printers stocked with paper, etc.
- Coordinate international and domestic travel for all UK staff using A&G Travel.
- Book UK hotels, visas, & taxis for IGI employees visiting London office.
- Arrange for Visa Invitation letters for IGI employees visiting London when requested.
- Assist with video conferences and conference calls in the meeting rooms – using Teams platform.
- Arrange for UK and global couriers when requested, using our approved suppliers.
- Distribute and keep log of visitor and temporary building passes alongside IT.
- Help PA with admin for events– Annual cocktail party, staff Christmas party, brochure or materials distribution, Board meeting preparation.
- Assist Underwriters with Ad hoc requests - booking lunch venues/basic admin, personal expenses etc.
- Providing the admin credit card expenses to Finance monthly.
- Ensure all merchandise for the office is fully stocked.
- Ordering of small IT supplies.
- Arrange meetings for the Delegated Authority committee meetings (DAC) & Product Oversight Group meetings (POG).
- Help ensure health and Safety is adhered to around the office, including updating the accident book, ensuring the first aid kits are fully stocked and reporting any H&S risks
- Compiling weekly travellers to and from the UK office
- Report facilities issues such as faults with lighting, toilets etc.

- At least one years’ experience in a similar role
- Proficient in the use of Microsoft Word and Outlook
- Knowledge of administrative and clerical procedures
