Academy Reception & Customer Service Coordinator
Salary: Up to £26,000 DOE
Full-time | Flexible Working | Greater Manchester
About the Role
We're looking for a bright, confident and personable Academy Reception & Customer Service Coordinator to become the welcoming face of a leading training academy in Greater Manchester.
This is a fantastic opportunity for someone who genuinely enjoys working with people and takes pride in delivering an exceptional customer experience. You'll be the first person learners, clients, employers and visitors meet, so your personality, professionalism and ability to make people feel welcome will be incredibly important.
You'll play a key role in keeping the academy running smoothly day to day, combining front-of-house customer service with administration, appointments, learner support and general academy coordination.
We're looking for someone who is presentable, organised, naturally friendly and bubbly, with the confidence to speak to a wide range of people and the initiative to get things done.
What You'll Be Doing
You'll be at the heart of the academy, making sure everyone who walks through the door receives a warm and professional welcome.
Your responsibilities will include:
- Meeting and greeting clients, learners, employers and visitors.
- Answering telephone calls quickly, warmly and professionally.
- Responding to customer enquiries by phone, email and text.
- Booking appointments, consultations, skin tests and client sessions.
- Welcoming potential learners and supporting academy drop-in sessions.
- Supporting the induction of new learners onto programmes.
- Maintaining accurate learner attendance and activity records.
- Communicating with learners, employers and trainers regarding academy updates and attendance.
- Working closely with trainers to coordinate models and appointments.
- Taking client payments and completing cashing-up and administration procedures.
- Promoting treatments, retail products and academy promotions.
- Maintaining accurate stock records and carrying out regular stock checks.
- Ensuring training materials, products and academy supplies are fully stocked.
- Keeping reception and the wider academy clean, tidy and welcoming throughout the day.
- Checking facilities regularly and ensuring the academy always looks professional.
- Maintaining organised stock cupboards and replenishing refreshments and toiletries.
- Supporting the general day-to-day administration of the academy.
- Ensuring applications and learner drop-ins are dealt with promptly.
- Helping the academy team wherever needed to ensure everything runs smoothly.

What We're Looking For:
We're much more interested in your personality and approach to customer service than ticking every box on a list.
You'll ideally have:
- Previous experience in customer service, reception, retail, hospitality or a similar people-facing environment.
- Excellent communication skills, both written and verbal.
- A warm, confident and approachable personality.
- A professional and presentable appearance.
- Strong organisational skills and good attention to detail.
- The ability to stay calm and positive in a busy environment.
- A genuine desire to provide excellent customer service.
- A proactive, can-do attitude.
- Good computer skills and confidence using Microsoft Office.
- The ability to work effectively as part of a team.
- The confidence to deal with customers, learners, employers and visitors professionally.
