Cammach are currently recruiting for a Receptionist/Administrator on behalf of our client. Based in Portlethen, Aberdeenshire, this is a 3-month contract opportunity and will be fully office-based.
ROLE
Delivering customer focused support on client site and to the wider FM team.
Responsibilities
- Complete flexibility in accordance with the client’s needs
- Assist with meeting room bookings and arranging all relevant department requirements e.g., refreshments, lunch provision, video conferencing facility and liaise with the department representative accordingly.
- Book scheduled maintenance (PPM) in accordance with contract
- Coordinate compliance with all statutory regulations and code of practice, in accordance with both our client and company health and safety policies
- Provide an effective response to customer queries
- Monitor agreed contract service levels for catering, cleaning, security sub-contractors, with a key focus on best value and continuous improvement
- Service monitoring – carry out safety and building fabric walk around; service standards of cleaning and reception
- Ensure RAMS & service reports are fully up to date
- Issuing permits to work where required
- Maintain hard electronic files on the system
- Update CAFM system and have weekly review meetings with client
- Provide administrative support to client when requested
- Generate monthly and quarterly reviews for presentation to client
- Liaising daily with contractors ensuring that the best service is provided and keeping the client up to date
- Accurately checking any contractor invoices against work orders when required
- Reception duties
- Visitors meet and greet in line with security procedures
- Ensure meeting areas and office space is kept tidy and in order daily
- Daily and weekly housekeeping checks
- Checking stock levels of all consumables
- Support the FM team where needed

Qualifications and Experience
- Experience in an FM support role
- IOSH
- IWFM Qualifications / Membership
Skills And Any Other Requirements
- Be able to work in a fast pace, dynamic work environment with multiple priorities
- Be able to prioritize work in a heavily changeable environment
- Ability to travel to field locations as needed
- Ability to maintain highly confidential information and exercise sound judgment
- Be able to communicate with all levels of personnel within and out with the organization
- Proficient in MS Office suites
- Planning and problem-solving skills and ability to adapt
- Excellent written and verbal communications skills
- Ability to work closely in a small team
- Must pass any company or client scheduled or random drug screens
- Driving license – desirable
