What to Expect

We are recruiting for two receptionists to join our fantastic Facilities team in Bicester. You will be responsible for warmly greeting visitors, informing office users of their arrival and perform various administrative tasks to ensure smooth office operations.

There are two shifts of 07:00-15:00 and 11:00-19:00, which will alternate weekly.

What You'll Do

  • Greet visitors: welcoming clients and visitors as they arrive at our flagship Bicester building.
  • Communicate visitor arrivals to team members.
  • Manage meeting space bookings.
  • Perform administrative tasks: Sorting and delivering mail, scheduling appointments, and maintaining the reception area.
  • Provide information: Offer directions and information to clients and visitors regarding the office layout and services.
  • Maintain professionalism: Ensure a tidy and presentable reception area while maintaining a professional demeanour during interactions.
  • Schedule and coordinate appointments and meetings.
  • Administration of Eden, our visitor booking software.
  • Issuance of building passes and administration of our building access software, Brivo.
  • Work closely with Facilities colleagues in fielding queries and raising building management issues.
  • Manage incoming and outgoing mail and deliveries.
  • Collation of daily handover notes for the night shift security team.
  • Support office management, security and other teams as needed.
  • Liaison with executive assistants for high profile visits to the buildings.

What You'll Bring

  • Excellent communication and interpersonal skills.
  • Strong organizational and multi-tasking abilities.
  • Proficiency in Microsoft Office Suite and office equipment.
  • Experience with access control and visitor booking software (desirable).
  • A positive attitude and professional appearance.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Previous experience in a receptionist or administrative role (desirable).
