Receptionist

Salary: £19,447.85 per annum (£26,521 FTE), plus company benefits
Location: Newcastle Upon Tyne, NE1 6QF
Contract: Part Time, Permanent
Shifts: 27.5 hours per week, Monday – Friday, rotational shifts 8am-2pm and 11am-5pm with 30 minutes unpaid break
Work model: Fully onsite

Williams Lea seeks a Receptionist to join our team!

Purpose of role

The Reception team provides administrative front-line service to all visitors and provides support to all staff. The role requires a certain amount of flexibility.

The primary focus of the Receptionist will be to deal with requests which come into the Office Services team.

Key responsibilities

  • All Reception and Administrative duties
  • Collection and opening of post within SLA
  • Special and Recorded Post processing
  • Welcome visitors with a high standard of customer service, signing in guests and issuing access cards with prior authorisation
  • Delivering a high-quality standard of corporate service including arranging client meetings and events
  • Ensuring a smooth running of daily requests, showing flexibility and willingness to support colleagues and take on additional duties if required
  • Liaising with the Office Services team for training materials and printing needs for seminars to ensure a prompt start for training events
  • Dealing with administration tasks
  • Dealing with telephone and email enquiries in a timely manner
  • Ensuring that the post deadlines are kept to
  • Reprographics, scanning, and printing
  • General maintenance of general office equipment
  • Assisting with moving and transportation of boxes around the office

Personal attributes

  • Previous reception/customer service experience essential
  • Well presented, with excellent communication skills (written and verbal)
  • Strong customer focus
  • Ability to operate at all levels within the organisation
  • Confident and with a professional, business-like manner
  • Ability to work under pressure, maintaining accuracy and delivering against timescales
  • Team player, consistently in tune with the aims and objectives of the business
  • Excellent time management and organisational skills

  • High level of confidentiality in management of staff
  • Able to meet deadlines and prioritize tasks
  • An understanding of an employer’s statutory and 'best practice’ Health & Safety requirement
  • Strong administration skills and fully conversant with Microsoft packages such as Word and Excel
