Hours will be between 8am - 5pm. You must have daytime availability. 20-22.5 hours per week

We are looking for enthusiastic and customer-focused individuals to join the neoworx team. As the first point of contact for our members, visitors and guests, you will play a key role in creating an exceptional workplace experience. You will coordinate the member journey while delivering a consistently high standard of hospitality and customer service.

Key Responsibilities

  • Welcome all members, visitors and guests in a friendly, professional and engaging manner.
  • Manage the reception inbox, telephone enquiries and general correspondence, responding promptly and professionally.
  • Build positive relationships with members, understanding their needs and providing exceptional day-to-day support.
  • Coordinate meeting room bookings, ensuring rooms are prepared, presented and ready for use.
  • Maintain accurate member records and update internal systems as required.
  • Operate and maintain knowledge of reception systems, telephone systems, visitor management software and other internal platforms.
  • Monitor the general presentation, cleanliness and functionality of communal areas, meeting rooms and communal spaces.
  • Conduct regular walkthroughs of the building to identify maintenance issues, health and safety concerns or housekeeping requirements.
  • Report maintenance issues promptly and liaise with contractors, cleaners and building management to ensure timely resolution.
  • Receive, record and distribute incoming mail, parcels and deliveries, ensuring items are securely transferred to the correct recipient.
  • Coordinate outgoing post and courier collections when required.
  • Monitor stock levels of office supplies, cleaning supplies, kitchen consumables and hospitality items, placing orders as required.
  • Support the onboarding of new members and companies, preparing offices, access credentials and welcome information.
  • Assist with member move-ins and move-outs, ensuring a smooth transition.
  • Support the planning and delivery of member events, networking activities and community initiatives.
  • Assist in promoting a positive workplace community by engaging with members and encouraging participation in events and activities.
  • Carry out general administrative tasks on behalf of other departments as required.
  • Ensure compliance with company policies, building procedures and health and safety requirements.
  • Maintain confidentiality when handling sensitive member or company information.
  • Undertake any other reasonable duties required to support the smooth operation of the workspace.

  • Excellent verbal and written communication skills.
  • Outstanding customer service and interpersonal skills with a genuine passion for hospitality.
  • Strong organisational skills with the ability to prioritise and manage multiple tasks.
  • Professional, approachable and confident when interacting with members, visitors and contractors.
  • High level of attention to detail and pride in maintaining exceptional presentation standards.
  • Proficient in Microsoft Office applications, including Outlook, Word and Excel.
  • Comfortable learning and using office management, visitor management and booking systems.
  • Comfortable working independently and taking ownership of the site during lone working shifts.
  • Ability to remain calm, organised and professional in a busy environment.

Previous experience in hospitality, hotels, customer service, serviced offices, coworking spaces or a similar front-of-house role is highly desirable.

Experience working in a member-focused or premium customer service environment would be advantageous.

Pay:

£12.71 per hour
