Job Description

Location: T B C Conversions, 50 Far Circular Road

We are seeking a professional, organised, and friendly Receptionist & Administrator to join our team. As the first point of contact for visitors, customers, and suppliers, you will play a key role in creating a positive impression of the business while providing administrative support across the organisation.

The successful candidate will be highly organised, have excellent communication skills, and be capable of managing a variety of administrative tasks in a busy office environment.

This is a full-time position, working five days per week, Monday to Thursday, from 9:00am to 5:30pm & Friday from 9:00am to 5:00pm.

About The Role

Key Responsibilities

Reception Duties

  • Answer, screen, and direct incoming telephone calls to the relevant people.
  • Welcome all visitors & customers in a professional & courteous manner, ensuring all visitors comply with company safety procedures.
  • Manage incoming and outgoing mail.
  • Book & manage travel arrangements for colleagues when required.

Administrative Duties

  • Provide general administrative support to management and office staff.
  • Manage deliveries & collections of hire vehicles on behalf of a TBC client. This includes corresponding by email or telephone, also updating vehicle information on all required systems.
  • Maintain accurate records, filing systems & company documents.
  • Assist with data entry and updating internal databases.
  • Order and maintain office supplies and stationery.
  • Booking customer’s vehicles in for yearly check.

General Responsibilities

  • Maintain confidentiality of company and employee information.
  • Support continuous improvement of office processes and administration.
  • Work collaboratively with colleagues across all departments.
  • Undertake other duties appropriate to the role as required.

Essential Skills & Experience

  • Previous experience in a receptionist, administrative, or customer service role.
  • Excellent verbal and written communication skills.
  • Strong organisational and time-management skills.
  • Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
  • Ability to prioritise tasks and work independently.
  • High level of accuracy and attention to detail.

Required Criteria

  • Right to work in the UK
  • Excellent Communication Skills
  • GCSE Maths and English or equivalent
  • Strong organisational skills
  • Ability to plan and organise workload effectively
  • Excellent IT skills, experience using Microsoft packages

Desired Criteria

  • 6 months - 1 year experience of operating a busy switchboard
  • Previous customer service experience
