We are looking for a friendly, welcoming and organised Band 2 Administrative Receptionist to join our Bone Densitometry Unit in Llandudno.
As the first point of contact for patients and visitors to the department, you will play an important role in creating a positive and reassuring experience. You will provide a professional and compassionate reception service, welcoming patients, answering enquiries and supporting the smooth running of the department.
Working closely alongside our clerical and clinical teams, you will undertake a range of administrative and reception duties, including managing appointments, maintaining accurate patient records, dealing with telephone and face-to-face enquiries, and supporting the day-to-day organisation of the service.
The successful candidate will have excellent communication and interpersonal skills, a professional and approachable manner, and the ability to work effectively as part of a busy multidisciplinary team. Good organisational skills, attention to detail and a commitment to providing high-quality patient care are essential.
Main Duties of the Job
- Offer general assistance to services providers and users and project a positive and friendly image to patients and other visitors, either in person or via the telephone
- Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
- Undertake a variety of administrative duties to assist in the smooth running of the General Office including the provision of clerical support to clinical staff and other members of the team
- Facilitate effective communication between patients, members of staff secondary care and other associated healthcare and wellbeing agencies

Detailed Job Description and Main Responsibilities
Maintaining and Monitoring the Appointment and IT Systems
- Inputting patient clinic outcome into WPAS (Patient Administration System)
- Taking messages and passing on information
- Computer data entry/data allocation and collation; processing and recording information in accordance with Health Board procedures
- Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
- Provide clerical assistance to staff as required from time to time, including word/data processing, photocopying, scanning and updating statistical information as required
- Scanning documents as and when required
- Keeping the reception area, notice boards and leaflet dispensers tidy and free from obstructions and clutter.

Person Specification
Qualifications and Knowledge
Essential criteria
- GCSE’S C and above in English and Maths or equivalent experience.
- NVQ Level 2 in Administration or equivalent experience.
- IT qualification or equivalent level of experience using Microsoft packages
- RSA/OCR Level 2 or equivalent experience
Desirable criteria
- ECDL
- AMSPAR-City & Guilds Level 3
Experience
Essential criteria
- Experience of using a computer system (e.g. GP clinical IT system)
- Previous experience of working in a reception/office environment
- Experience of working with the general public
Skills and Attributes
Essential criteria
- Ability to input information onto a computer system with accuracy
- Ability to work in a busy environment, and deal with a number of different tasks simultaneously
- Ability to communicate tactfully with patients
- Ability to resolve issues ‘on the spot’ using own judgement
- Ability to multitask in a busy office environment
- An understanding of confidentiality involved with post
