Job Title: Receptionist/ Admin Assistant

Trust Location: Royal Devon University Healthcare NHS FT

Location: Melbury Lodge, Winchester, SO22 5DG

Hours: 37.5 hours per week

Start: Beginning of November 2026

End: Beginning of March 2027 but could be extended.

Working Pattern: Monday - Friday, 9am – 5pm

Duration: 4 Months

Job Summary

As a Receptionist/Admin Assistant, you will be expected to work as part of a wider administration service supporting front line staff, service user, carers and always maintain confidentiality. You’ll learn the following whilst working at the trust:

  1. An in-depth understanding of the roles and responsibilities involved in working within the NHS
  2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.

Key Duties and Responsibilities

  • Welcoming visitors and outpatients to the building.
  • Answering telephone calls and forwarding messages in a timely manner.
  • Answering emails, forwarding messages in a timely manner.
  • Signing out/in keys, fobs and alarms for visitors/ temporary staff members.
  • Filing, printing, laminating, and copying.
  • Raising and tracking purchase orders for teams across the building.
  • Raising orders for the Kitchen team.
  • Filing patient documents, sending to archive.
  • Patient data input (notes, document scans).
  • Ensuring effective communication with all outside agencies, clients/carers, staff.
  • Work flexibly with other admin colleagues to ensure that the workload and pressures are dealt with appropriately.
  • Managing Reception calendar appointments and scheduling.
  • Handling mail and deliveries (receive, sort, and distribute incoming mail, handle outgoing mail or packages as needed).

Skills/Experience

  • Face to face and telephone customer service
  • Administration background is desirable but not needed. All needed training will be provided.
  • System Knowledge – MS Office package
