Reporting To: HR Manager

Working Hours
- Monday – Thursday: Start time 8.30am / 9am (to be agreed), finish 5pm
- Friday: Start time 8.30am / 9am (to be agreed) finish 2pm
Salary
- 9am start (34 ½ hours a week) = £24,606
- 8.30am start (37 hours a week) = £26,364
(inc. 30-minute unpaid lunch break Monday - Thursday)

We are looking for an organised, welcoming, and meticulous Receptionist / Administrator to serve as the face of our Greenfield headquarters while providing vital support directly to our HR Manager.
The Role
This is a dual-purpose role combining first-class front-of-house reception coordination with critical administrative support focused on business compliance and HR data management. You will manage our front desk seamlessly while maintaining robust tracking databases, helping ensure the business remains continuously audit-ready.
As the first-person visitors, customers, suppliers, and contractors will meet when arriving on site, you will be expected to present a professional, approachable, and welcoming image of the business at all times.
Key Responsibilities
Front of House & Reception Coordination
- Meet and Greet: Serve as the first point of contact, warmly welcoming and greeting all arriving clients, suppliers, contractors, and external visitors.
- Visitor Management: Manage the reception desk, execute corporate sign-in procedures, and ensure compliance with site visitor protocols.
- Meeting Room Coordination: Organise and prepare meeting rooms for visitors, customers, and internal meetings, ensuring rooms are ready and appropriately equipped.
- Inbound Communications: Handle emails, and corporate mail, directing enquiries efficiently and professionally.
- Reception Standards: Maintain an organised, professional, and welcoming reception environment at all times.
- Site Communications: Assist with preparing and displaying company notices, updates, and communications on staff notice boards.

HR Administration & Systems Coordination
- Time & Attendance Tracking: Support day-to-day HR tasks by utilising our core system (Kelio) to complete workforce administration duties.
- New Starter Administration: Support the onboarding process by preparing new starter documentation, taking and securely maintaining copies of qualifications, certifications, and Right to Work documentation, ensuring all mandatory employment records are completed and retained in line with company procedures and legal requirements as directed.
- New Starters Setup: Add new starters to the system completing all mandatory fields, issue and assign electronic key fobs to new team members, ensuring proper registration within the clocking-in/out infrastructure.
- Training Administration: Assist with scheduling and coordinating employee training activities, maintaining accurate records and training matrices where required.
- Health Surveillance Administration: Support the organisation and scheduling of health surveillance appointments and maintain associated records as directed.
- General HR Support: Assist the HR Manager with any general clerical, coordination, or administrative tasks deemed appropriate to maintain department efficiency.
Business Compliance & Audit Support
- Compliance Database Maintenance: Support the maintenance and accuracy of the Compliance Database to ensure records remain current and complete.
- Documentation Chasing: Actively cross-reference files and chase up missing documentation or expired records from internal and external stakeholders where necessary.
- Audit Preparation: Work hand-in-hand with the HR Manager, HSE Manager and relevant stakeholders during internal or external audits, assisting with document collation.
What We Are Looking For
Essential
- Previous experience working within a professional Reception, Front Desk, or Administrative Support role (experience supporting an HR / compliance function is a strong advantage).
- A professional, approachable, and presentable manner with the confidence to interact with visitors, customers, suppliers, and colleagues at all levels.
- Proven capability to maintain absolute confidentiality and manage sensitive data securely.
- High proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
- High proficiency with IT systems and database tools (prior exposure to Kelio or a similar Time & Attendance/HRIS platform is highly desirable, but full system training will be provided).
- Exceptional organisational skills with a sharp eye for detail.
- Excellent communication and interpersonal skills with a proactive and customer-focused approach.

Desirable
- Experience coordinating training records, maintaining compliance documentation, or providing administrative support within an HSE, Compliance, or HR function.
- Experience using HR, Time & Attendance, or document management systems.
