Description

As a Receptionist and Admin Support, you will be the first point of contact for our clients, delivering exceptional customer service both in person and over the phone. You will also be responsible for maintaining office organisation, managing documents, and supporting administrative tasks, ensuring that everything runs smoothly and efficiently in our fast-paced environment. You will manage important administrative functions, including client engagement processes, compliance tasks, and office management duties. This role requires a proactive approach, excellent communication skills, and attention to detail to ensure high standards are maintained across all administrative activities.

Key Responsibilities

  • Provide outstanding service as the first point of contact for clients, answering calls and greeting visitors with a professional and friendly demeanour.
  • Assisting Partners with timesheet completion.
  • Maintain the cleanliness and organisation of the facilities to uphold a professional and welcoming image.
  • Scanning incoming records for the Bookkeeping & Accounts team.
  • Manage incoming and outgoing correspondence, ensuring all documents meet standard requirements and are submitted in a timely manner.
  • Conduct regular health and safety checks to maintain a safe working environment for staff and clients.
  • Provide administrative support for client-related tasks, contributing to the smooth operation of the business.
  • Provide support to the partners and directors on the organisation's invoicing process.
  • Ensure confidentiality and compliance with data protection and professional standards.

Key Requirements

  • Previous experience as a receptionist, administrative assistant, or a related role.
  • Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and relationship-building abilities.
  • Good organisational skills and the ability to prioritise tasks effectively.
  • Ability to work independently and prioritise tasks.
  • Reliable and professional, with strong customer service skills.
