About the Role

As our Receptionist and Administrator, you’ll be the first point of contact for people accessing Be Smoke Free—creating a warm, professional and responsive experience from the moment they call or arrive.

You’ll manage appointments, respond to enquiries and keep essential information moving, giving our specialist team the organisation and support they need to help people across Manchester live healthier lives.

This is not simply reception.

It is connection, coordination and better health—combined.

The Impact You’ll Make

Be Smoke Free is a specialist nurse-led tobacco addiction service delivered by Change Grow Live in partnership with Manchester Health Care Commissioning Service and Manchester City Council.

You’ll sit at the centre of the service, connecting people with Stop Smoking Advisers, Tobacco Addiction Specialist Nurses and the wider support available across Manchester.

You’ll

  • Welcome people and respond to telephone, email and face-to-face enquiries.
  • Coordinate appointments and maintain electronic diaries.
  • Record contacts accurately on our case management systems.
  • Provide clear information and signpost people to the right support.
  • Keep reception areas welcoming, organised and up to date.
  • Support feedback, correspondence and wider team administration.

Your work will help ensure every person receives a prompt, respectful and well-organised service.

Where You’ll Work

Location: Manchester

Contract: Fixed term for 12 months from your employment start date

Hours: Full time, 37.5 hours per week

Please note Full-time hours at Change Grow Live are 37.5 hours per week. For part-time roles, the salary and any associated payments will be pro rata based on contracted hours.

What You’ll Bring

You know how to make people feel welcome while keeping the details under control.

  • You’ll be organised, approachable and confident communicating with people from different backgrounds. You’ll understand the importance of confidentiality and know how to remain calm and professional when the service is busy.
  • You’ll bring strong administrative and IT skills, including confidence using Microsoft Office, spreadsheets, electronic diaries and databases.
  • You’ll also have excellent written and verbal communication skills, good attention to detail and the ability to manage your time and priorities effectively.
  • Experience of minute taking would be useful, but it is not essential.
