As a Receptionist and Prescriptions Administrator, you'll be one of the first points of contact for patients, helping them access the services they need while supporting the safe processing of prescriptions.
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
Roles & Responsibilities
- Welcome, assist and direct patients and visitors in a professional and friendly manner.
- Manage incoming telephone calls, responding to enquiries and directing calls appropriately.
- Make appointments and signpost patients to the most appropriate service.
- Process home visit requests and ambulance transport bookings where appropriate.
- Register new patients and temporary residents.
- Manage online requests and communications received from patients.
- Deal with general enquiries, concerns and complaints in a courteous and professional manner.
- Contact patients and external providers as directed by clinicians or management.
- Distribute prescriptions, correspondence and other patient documentation.
- Collect payments for non-NHS services where required.
Prescription Administration
- Process repeat prescription requests received via telephone, online services, email, post and written requests in line with practice protocols.
- Ensure prescription requests are processed safely, accurately and within agreed service timeframes.
- Raise prescription requests in accordance with practice prescribing policies and procedures.
- Deal with patient queries relating to medications and prescriptions through all communication channels.
- Work closely with GPs, pharmacists, pharmacy technicians and other prescribing clinicians to provide an efficient prescribing service.
- Assist with the administration of repeat dispensing and electronic prescribing services.
- Reconcile medication information from discharge summaries, outpatient letters and other clinical correspondence as directed.
- Ensure patient medication records are maintained accurately and updated appropriately.
- Support the management of medication reviews, recalls and monitoring requirements for safe prescribing.
- Escalate concerns relating to medication compliance, overuse, underuse or prescribing issues to the appropriate clinician.
Administrative Duties
- Input, maintain and extract information accurately using the practice clinical system.
- Process administrative tasks including emails, patient detail changes, forms and document management.
- Complete filing and document management duties as required.
- Ensure outstanding work is communicated effectively to colleagues during handovers.
- Support wider administrative functions across the practice when required.
Teamwork and Communication
- Liaise effectively with patients, carers, pharmacies, secondary care providers, district nurses and other healthcare professionals.
- Respond to the needs of the clinical and administrative team.
- Attend practice meetings and contribute positively to service improvement activities.
- Support colleagues through flexible working and cross-cover arrangements where required.

- Maintain strict confidentiality at all times and comply with GDPR, Data Protection legislation and practice policies.
- Observe health and safety requirements and infection prevention procedures.
- Ensure patient information is handled securely and accurately.
- Adhere to all practice policies, procedures and relevant NHS guidance.

What you'll learn
Course contents
- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
- Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Training schedule
Your training will be provided by EMA Training once a month through online sessions and you will cover the below modules:

- Decision Making and Process Improvement
- Professionalism and Personal Development
Upon completing the required content, you will enter your end point assessment, where you will be assessed through a knowledge test, project presentation and professional discussion.
Essential qualifications
GCSE in:
- 5 GCSEs including maths and english (grade 4/C)
Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.
