M+C Saatchi is looking for a Receptionist to join our Workplace Operations team in London

As the first point of contact for our employees, clients and visitors, you'll play a key role in creating a welcoming, professional and seamless front-of-house experience across our Soho offices. This is a fantastic opportunity for someone who enjoys working in a fast-paced, people-focused environment, combining exceptional customer service, administration, hospitality and workplace support to help deliver an outstanding experience for everyone who walks through our doors.

As the face of our business, this role requires a full-time office presence Monday to Friday, working either 8:30am-5:30pm or 9:00am-6:00pm. Flexibility is required, as start and finish times may occasionally vary to support business needs and company events.

About The Role

This is a hands-on role at the heart of our Workplace Operations function. Working closely with employees, visitors, clients, suppliers and internal teams, you'll help ensure our reception services run smoothly, professionally and efficiently.

The successful candidate will play a key role in delivering a best-in-class front-of-house experience, supporting workplace operations, meeting room management, hospitality services and administrative processes while helping to maintain a vibrant and welcoming office environment.

What You'll Do

Front of House & Visitor Experience

  • Deliver a professional and welcoming front-of-house experience for all clients, visitors and employees.
  • Meet and greet visitors, ensuring they are registered and directed appropriately.
  • Act as the first point of contact for the business, representing M+C Saatchi with professionalism and warmth.
  • Maintain a safe, organised and welcoming reception area at all times.
  • Support visitors throughout their time in the office, ensuring an exceptional client experience.
  • Provide information and assistance to visitors, employees and external partners as required.

Switchboard & Communications

  • Answer and manage incoming calls in a professional, friendly and efficient manner.
  • Direct calls and messages accurately to the relevant departments and individuals.
  • Act as a key communication link between internal teams and external contacts.
  • Respond to enquiries promptly and ensure requests are followed up appropriately.

Meeting Room & Hospitality Coordination

  • Manage meeting room bookings and maintain accurate booking records.
  • Prepare meeting rooms to ensure they are clean, stocked and set up correctly.
  • Coordinate catering and hospitality requests, including refreshments, breakfasts and lunches.
  • Work closely with catering teams to ensure hospitality services are delivered to a high standard.
  • Monitor upcoming bookings and make adjustments where required.
  • Report any faults or issues within meeting rooms and shared spaces.

Workplace Administration & Office Support

  • Provide administrative support to the Workplace Operations team.
  • Maintain workplace records, telephone lists and employee information updates.
  • Assist with staff movement administration and office-related communications.
  • Support helpdesk requests and coordinate facilities repairs and maintenance where required.
  • Assist with departmental projects and ad hoc administrative tasks.
  • Help ensure workplace standards and company procedures are consistently maintained.

Mailroom & Logistics Support

  • Receive, sort and distribute incoming mail and packages.
  • Maintain accurate records of incoming and outgoing deliveries.
  • Ensure mail and deliveries reach the appropriate recipients in a timely manner.
  • Support courier arrangements and delivery coordination when required.

Health, Safety & Workplace Standards

  • Follow all reception and workplace procedures, standards and policies.
  • Support the maintenance of a safe and compliant office environment.
  • Undertake Fire Marshal and First Aider responsibilities following appropriate training.
  • Escalate any workplace concerns, hazards or issues appropriately.
  • Act as a positive ambassador for M+C Saatchi and uphold company values at all times.

What You'll Bring

  • Previous experience in a Receptionist, Front of House, Hospitality or Workplace Support role.
  • Exceptional customer service skills and a genuine passion for creating positive experiences.
  • Excellent verbal and written communication skills.
  • A professional, friendly and confident approach when interacting with clients and colleagues.
  • Strong organisational skills and the ability to manage multiple priorities.
  • Experience using Microsoft Office applications.
  • Excellent attention to detail and ability to maintain accurate records.
  • The ability to remain calm and professional in a fast-paced environment.
  • A proactive and solutions-focused mindset.
  • Strong interpersonal skills and the ability to build positive working relationships.
  • Reliable, adaptable and willing to support across a variety of tasks.
  • A positive attitude and commitment to delivering excellent service.
