Description

As Receptionist, you will serve as the central hub of our Oxford office, embodying our commitment to professionalism, hospitality, and efficiency. Your role goes beyond simply greeting visitors and answering phones; you will be a pivotal force in ensuring the smooth operation and security of our office environment.

Reporting to the Office and Facilities Manager, this position will work closely with our Business Infrastructure & Operations teams both locally and globally. Initial priorities for this role will be optimising the client and visitor experience at our global headquarters.

Key Responsibilities

  • Greet and welcome visitors with warmth and professionalism, ensuring a positive experience from the moment they enter our premises
  • Serve as a reliable point of contact for enquiries, providing information and assistance to callers and visitors alike
  • Manage the reception and break-out areas with meticulous attention to detail, ensuring they remain organised, tidy, and stocked with essential supplies
  • Maintain a secure and safe environment by monitoring visitor access and issuing visitor badges in accordance with company policies
  • Exercise discretion and judgment in screening and directing visitors, always maintaining confidentiality and professionalism
  • Uphold safety protocols and respond to any security-related incidents or emergencies as required
  • Handle incoming and outgoing mail and packages, including sorting, distributing, and ensuring timely delivery to the intended recipients
  • Assist with administrative tasks such as scheduling appointments, booking meeting rooms, and maintaining office supplies inventory
  • Collaborate closely with various departments to support administrative needs and facilitate seamless communication within the organisation
  • Support with tasks for the wider Business Infrastructure & Operations team or office as required

Skills, Knowledge and Expertise

Required attributes:

  • Proven customer service experience, preferably in a corporate or professional services environment
  • Excellent communication skills, both verbal and written, with the ability to convey information clearly and effectively
  • Strong problem-solving skills and the ability to think quickly on your feet, especially in high-pressure situations
  • A proactive mindset and the willingness to take initiative to identify and address areas for improvement
  • Exceptional time management skills, with the ability to prioritise tasks effectively and meet deadlines consistently
  • A keen eye for detail and a commitment to maintaining the highest standards of accuracy and quality in your work
